Job Summary:

Manages all financial aspects of the agency, ensuring client billing and financial matters are accurate and timely. Works with agency teams to maintain constant knowledge of client initiatives, keeping the accounting department equipped to properly handle A/P, A/R, and related responsibilities. Maintains a strong grasp of the financial status of the agency, providing projections and recommendations on how to improve the department, agency financial health, and client relations.

Reports to: CEO

Job Responsibilities:

- Prepare monthly financial statements and perform detailed analysis to further understand business operations and accounting activity, recommend appropriate action

- Prepare monthly bank reconciliations

- Prepare and input General Journal Entries and control the flow of data into the general ledger

- Prepare monthly, quarterly, and annual forecasts as well as other reporting requirements

- Handle reporting, client billing and accounts payables and receivables processes, accurately and on a timely basis

- Oversee clearing of vendor invoices to right buy, purchase order, general ledger account

- Enter credit card transactions on monthly basis for reconciliation process

- Stay current with entering and posting of vendor invoices

- Maintain direct contact with vendors and clients regarding unbilled or unpaid invoices and bills

- Ensure that billing and back-up released to clients are error-free and meet contractual obligations

- Prepare and review with the President monthly, quarterly, and annual operating budget (billings, gross income, expenses, bonuses, retirement plan, etc.)

- Perform monthly closing of company accounts and client campaigns

- Generate monthly job costing reports for analysis of client profitability

- Organize and provide support to external auditors for annual financial statement audits

- Maintain and improve documentation requirements for internal controls

- Establish adequate accounting procedures and policies compatible with corporate policies and objectives

- Perform treasury operations including wire transfers, stop payments, check voids

- Administer all benefit and insurance-related areas, including:

- Company-funded benefit program (401K, Health, FSA, Supplemental and respective contributions)

- Administer all employee payroll, tax deductions, and withholding

- Establish and maintain a healthy line of communication with client accounting counterparts

- Work with the President to ensure profitability and to pursue new ways to enhance overall agency profitability and effective use of resources and assumptions underlying budget forecasts

- Protect corporate assets through sound accounting policies and procedures which include:

- Provision for insurance coverage, as required; and

- Protection of business assets and loss prevention through internal control and internal auditing

- Contribute to corporate strategy and operations as a key member of the team

- Collaborate with different departments to obtain support for accounting processes and records

- Educate, develop, supervise, and evaluate all members of the agency on accounting matters

- Attend interdepartmental briefings

- Any other reasonable task that provides value or advancement of the agency or clients

Qualifications:

- Minimum of 3 years of accounting experience required, small business and marketing/advertising experience preferred

- Knowledge of finance and accounting systems, QuickBooks, and Workamajig a plus

- Proficiency in Microsoft Excel

- Detail-oriented, positive attitude, with strong problem-solving abilities

- Strong communication skills with the ability to work both independently and as part of a team

- Ability to collaborate and communicate with employees in different departments, both in-person and remotely

- Self-starter who is both interested and willing to take on an expanded role over time

- Bachelors degree in Accounting or Finance

- Understanding of internal controls over financial reporting
