Overview:

We are seeking a highly organized and tech-savvy Executive Assistant to support our Chief Financial Officer (CFO) and the Financial Services department. This role is crucial in ensuring the smooth operation of executive tasks while also providing administrative support to the Financial Services team. The ideal candidate will be proactive, able to prepare compelling and visually appealing presentations, have strong communication and collaboration skills, and possess a strong desire to learn and take on additional responsibilities.

Responsibilities:

Executive Support:

Manage the CFO’s calendar, including scheduling meetings, appointments, and travel arrangements.

Prepare and edit professional correspondence, detailed reports, and visually engaging presentations with a strong focus on design and clarity.

Prepare agendas, meeting notes and manage tasks and follow ups from CFO’s meetings.

Financial Services Department Support:

Provide administrative assistance to the Financial Services team.

Plan and manage both in person and virtual meetings and events for the department.

Support special projects and initiatives as directed by the CFO or Financial Services team.

Manage department-wide communications and certain communications with other departments.

Assist the Treasury team with the reconciliation of company bank accounts, preparation of cash summary emails noting receipts, disbursements and borrowing activity, and the preparation of various wire transfer requests.

Project Management:

Effectively coordinate various projects, ensuring timely completion of tasks and keeping stakeholders informed throughout the process.

Help track and report on project progress and outcomes.

Engagement in Charitable and D&I Initiatives:

Foster a collaborative, inclusive culture by actively engaging teams in diversity, equity, and charitable initiatives.

Lead efforts to plan, organize, and promote events that strengthen team cohesion and build a shared commitment to community impact and inclusive practices.

Qualifications:

Bachelor’s degree or equivalent experience preferred.

3+ years of experience as an executive assistant or in a relevant administrative role, demonstrating proficiency in organizational tasks, communication, and project management.

Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with project management tools.

Strong proficiency in Google Suite applications including Gmail, Google Forms, Google Calendar, Google Sheets, and Google Slides.

Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.

Strong attention to detail and a creative eye for design, particularly in presentation materials.

Ability to learn quickly and adapt to new technologies and processes.

Excellent verbal and written communication skills.

A proactive and positive attitude, with a passion for supporting others and contributing to team success.

Demonstrated ability to exercise sound judgment and confidentiality, and to work securely with company data
