Overview:

We are seeking an Executive Assistant to support our SVP of Asset Protection. In this role, you will lead organization-level administration to ensure efficient functioning of team processes and the supporting infrastructure. The role manages meetings, spaces, supplies, agendas, and materials to drive senior leader and overall team productivity. It facilitates collaboration, decision-making, and accountability for org-level goals and overall team engagement. This position is hybrid, on site, in Burlington, New Jersey.

A Day in the Life:

Manage executive calendars proactively to maximize productivity by anticipating and resolving issues with cross-functional org processes.

Develop processes for managing office attendance, travel coordination, PTO, and other commitment visibility to support day-to-day functioning of the organization and workload planning and execution.

Define and implement productivity-enhancing tools, supplies, and processes from meeting cadence to break room, IT, facilities, catering, and other areas.

Lead org-wide meetings and events from All Hands to Town Halls and others as needed.

Manage event attendance at Asset Protection and overall Stores organization level as needed.

Maintain database of Asset Protection organization resources, tools, templates, and data.

Create and coordinate presentation and document content to facilitate org-wide processes.

Prepare periodic reports about the business and/or the Asset Protection organization.

Create onboarding plans and schedules for new members of the organization and arrange onboarding and training resources.

Manage travel and expenses for executives as assigned.

You’ll Come With:

>3 years of experience in fast-paced, high-pressure environment

Knowledge of virtual meeting platforms with the ability to setup and manage virtual meetings and group presentations

Intermediate-level proficiency with Excel and PowerPoint to create and manage spreadsheets and presentations

Familiarity with corporate systems such as Concur, Workday, SAP, etc.

Resourcefulness, flexibility, and agility dealing with unexpected and ambiguous situations

Excellent written and spoken communication skills

Strong business judgment and discretion to handle a variety of situations and conflicts involving the clerical and administrative functions

Tactful, diplomatic, and discreet to work effectively with time-sensitive and confidential information

BA Preferred
