Job Description: Office Administrator

About Us: Stuzanne is a family business which produces Jewellery for the industry and designers, we are a manufacturing workshop which specialized in the trade for over 50 years. We are not public facing so everyone we deal with is from the trade or through referrals. We are looking for an Office Admin.

Key Responsibilities:

* Administrative Support:

* Manage day-to-day administrative tasks, including handling phone calls, emails, and correspondence.

* Organize and maintain filing systems, both electronic and physical.

* Coordinate appointments, meetings, and travel arrangements for management and staff.

* Customer Service:

* Greet and assist clients visiting the showroom, ensuring a welcoming and professional environment.

* Respond to customer inquiries via phone and email, providing information and support as needed.

* Assist with sales processes by preparing invoices, processing payments, and maintaining accurate records.

* Office Management:

* Oversee office supplies inventory and place orders when necessary.

* Ensure the office is clean, organized, and well-maintained.

* Liaise with external vendors and service providers for office maintenance and supplies.

* Financial Administration:

* Assist with basic bookkeeping tasks, including data entry, invoice processing, and bank reconciliations.

* Support the finance team with tracking expenses and preparing financial reports.

* HR Support:

* Maintain employee records, manage timesheets, and assist with payroll processing.

* Support the recruitment process by coordinating interviews and maintaining candidate records.

Qualifications:

* Proven experience as an Office Administrator, Administrative Assistant, or similar role.

* Strong organizational and time management skills, with the ability to multitask effectively.

* Excellent communication and interpersonal skills.

* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software.

* Experience in the luxury retail or jewellery industry is a plus.

* High attention to detail and a commitment to maintaining confidentiality.

* Ability to work independently and as part of a team
