About the Opportunity:

DMI, LLC is seeking a Administrative Assistant. Position is responsible for providing office management and administrative support for the Army Human Resource Systems (AHRS) Product Director (PD) and Deputy Product Director (DPD).

Duties and Responsibilities:

Answer all phone calls for PD when in the office

Manage PD/DPD internal calendar invite.

Perform weekly calendar meetings with PD/DPD,

Apply employee leave dates to PD/DPD calendars.

Proofread and ensure proper format for correspondence for PD/DPD and digital signature is obtained.

Ensure PD/DPD have printed slides for calendared events when in the office.

Coordinate VTC equipment for meetings, Maintain training certificate files/book for PD/DPD.

Manage/prepare Fed Ex mailings.

Manage AHRS phone roster.

Prepare Certificate of Appreciation for signature (printed and framed).

Maintain AHRS contact cards.

Liaison for AHRS In/Out Processing link; complete In/Out Processing link.

Attend weekly calendar scrub, take notes and send to PD/DPD.

Attend weekly OPS meeting, take notes and send to PD/DPD.

POC for Salesforce meetings.

Maintain group email AHRS (requirement).

Update and maintain Manpower Information Retrieval and Reporting System (MIRARS) as needed, for example. change supervisors for employees, add and delete employees from MIRARS, track to make sure all employees update their T(ATAAPS) Timekeeper.

Managing tasker tracking/assigning taskers/tracking suspense compliance/completing and reporting taskers to the PD/DPD within the PEO EIS Task Management tool (TMT) tasker system daily.

Schedule meetings with PD/DPD daily.

Schedule conference rooms as required.

Attend weekly AHRS Stand-up meetings, weekly meetings with PEO, yearly Risk Management and Internal Control (RMIC) Coordination and any meetings in support of PD/DPD daily.

Update AHRS Recall Rosters on a monthly basis and provide copies to AHRS personnel.

Update accountability no later than 0900 in MIRARS daily and report to PD/DPD.

Update AHRS email enterprise distribution as required.

Track and provide accountability of AHRS mandatory training for all AHRS personnel to PD/DPD on a semi-annual basis.

Provide SharePoint support by providing POCs and location of the AHRS information in SharePoint when required.

Prepare, edit, and maintain presentations.

CCIR/SIR Tracking/Management.

Weekly SITREP/update coordination.

Command & Staff and other brief coordination.

Manage AHRS battle rhythm.

Report Management.

Maintain management documents.

Other administrative functions as required.

Qualifications:

Education and Years of Experience:  5 years. 

Required and Desired Skills/Certifications: 

Experience with Microsoft products: Word, Excel, PowerPoint, SharePoint, MS Teams

  

Additional Requirements: Military experience preferred

Min Citizenship Status Required: US

Physical Requirements: No Physical requirement needed for this position.

Location: Ft Belvoir, VA. This is a Hybrid position with requirements to be on-site three days a week (Tuesday, Wednesday, Thursday).
