Overview:
The Administrative Assistant will provide high-level and confidential administrative support to the Vice President of Clinical Child Welfare.
Schedule: 35 Hours Per Week
Salary: $50,000.00/annually
Responsibilities:
Assist Vice President with planning and scheduling staff trainings which includes (arrangements/emails/database/contracting/payment processing if needed/set-up and clean-up, food orders, registering participants)
Responsible for coordinating and scheduling meetings and trainings (sometimes includes ordering food arrangements, taking minutes or notes, and reserving rooms)
Set up Zoom links and send out calendar invites for meetings as needed
Provide administrative support to program supervisors as needed (Adoption, Kinship, Clinical, Peer to Peer, SHIP, BEC)
Responsible for Record keeping when needed
Responsible for Entering CSQ data into Evolv and or Excel and creating reports
Assist with inputting clinical referrals and supporting documents into Evolv
Responsible for coordinating Internship inquiries and processing their applications/forms
New Hire Orientation Planning/Scheduling, Set-up/Clean-up, Food orders, certificates, updating database 2 days per month
Assisting with preparing Blue Book Program Reports, annually
Assist with staff meeting (set-up, clean-up, order/pickup food, prepare agenda, and meeting minutes with assistance from CEO’s admin), 6x per year
Assist with preparation of Annex A contracts gathering documents needed, updating contract forms, and printing
Assist with written reports, correspondence, and projects.
Qualifications:
Education:
Associate’s Degree required/Bachelor’s Degree Preferred
Work Experience:
Minimum of 3 years office support or clerical experience. Data entry experience and knowledge of databases; Knowledge of computers and Microsoft programs required; Prior Administrative Office experience; Proficient in Microsoft Office Applications such as Word, Excel, Outlook, PowerPoint, etc.; Experience working with Electronic Health Records a plus (i.e. Evolv); Able to Create letters, spreadsheets, forms, etc; Must have a car and valid driver’s license; Respects racial, ethnic, cultural and class differences of all clients and staff.
