Overview:
The Administrative Assistant provides administrative support including clerical functions such as report generation, answering phones, coordinating travel, arranging conference calls, receiving visitors and scheduling meetings. This position typically reports to a Vice President level within the organization. This is a temporary role lasting 3-4 months.
Responsibilities:
Coordinates the scheduled meetings which includes conference calls and in person meetings.
Manages travel arrangements and proactively coordinates the pre-planning of trips with various internal functions, including arranging appropriate travel, visas, hotels, transportation, meeting agendas and necessary contacts, as well as other information.
Process expense reports for Vice President or others as requested.
Prepare PowerPoint presentations for internal and/or customer meetings.
Produces various weekly and monthly reports for vice president and/or management teams.
Responsible for the planning and execution of the annual business meetings.
Analyzes incoming documents and prepares research reports.
Assists in Business budget maintenance and monitoring of expenditures.
Processes and maintains business unit paperwork.
Record purchase requisitions into NFI purchasing system as appropriate.
Performs other various administrative tasks as needed.
Qualifications:
Associates degree preferred, High School Diploma required
At least 5-7 years’ experience supporting executive management
Demonstrated ability to handle confidential information appropriately.
Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines.
Excellent verbal and written communication skills
Excellent internal and external customer service skills
Excellent Microsoft Office application experience
Professional appearance and demeanor
Bilingual in Spanish is preferred in some locations
Transportation, Distribution, Supply Chain industry a plus
