Team Administrator

A varied, people-focused administration role supporting a busy Birmingham office.

About the opportunity

Are you organised, proactive and confident supporting a busy team? This is a great opportunity to join a global, employee-owned business where teamwork, flexibility and excellent support really matter. Based in the Birmingham office, you’ll help keep day-to-day activity running smoothly for a range of service teams.

You’ll be the person who helps the team stay organised — supporting with diaries, travel, meetings, documents, invoices, compliance reminders and team communications.

Team Administrator Duties

* Provide day-to-day administrative support to service teams, including CM, PM, BAC and H&S.

* Respond to requests sent to the admin mailbox and support other teams when needed.

* Help manage Partner diaries and arrange travel.

* Keep team CVs up to date and make sure they follow the correct format and branding.

* Prepare documents such as presentations, reports and smaller bid documents.

* Assist with the set-up of meetings, presentations and workshops when required

* Organise PPE orders and maintain a PPE schedule for the region

* Editor for Connect hub page (intranet) - update regularly with regional news and updates as directed by Marketing and the Office Manager

* Help manage Teams sites, including members, folders, documents, links and planners.

* Gathering data for events, assisting in hosting events with the Office Manager and Events

* Book travel for wider team as overflow support

* Liaising with Office Manager, recruitment, people team & IT to assist with the onboarding of new team members, including completion of service line inductions and updating distribution lists

* Prepare compliance updates and help track service reviews, mandatory training and timesheets.

* Act as a point of contact for system queries and help colleagues use the systems confidently.

* Holiday cover including reception when needed

This list is not exhaustive, and the role may adapt from time to time in line with business needs.

Skills & Experience

* Administrative support experience

* Experience in a team administration role within a professional services environment would be helpful, but is not essential as training will be provided.

* Confident using Microsoft Word, Excel and PowerPoint.
