The Executive Assistant will provide high-level support to the C-Suite. This position requires the ability to execute duties both independently and collaboratively with the appropriate sense of urgency. This position requires exceptional planning, time management, and organizational skills with a superior attention to detail while handlings multiple competing deadlines. This position is responsible for the project management of all executive-related events.
This role is required to be in the Greater Seattle area and report to Kirkland a minimum of 4 days a week.
ESSENTIAL DUTIES:
Maintain Executive calendars by coordinating and rescheduling meetings both internal and external
Schedule complex travel arrangements for the Executive team.
Gather needed data and submit executive expense reports
Compose and maintain important and confidential communication of the Board of Directors, Kestra Executive Team, and other external high-level executives
Coordinate Board of Directors and other important meetings, including scheduling, agenda creation, logistics, catering, and any other related material
Event Planning
Facilitate key projects, often of confidential nature and requiring independent research
Other duties as assigned
Requirements
QUALIFICATIONS
Education/Experience Required:
Minimum 3 years supporting senior level management in an administrative capacity
Minimum 1 year experience coordinating domestic and foreign business travel
Outstanding verbal and written communication skills, including experience creating executive-level communications
Demonstrated ability to effectively communicate with senior executives, internal and external, and the Kestra Team
Exceptional organizational skills
Advanced skills in Excel, Word, Outlook with a particular proficiency in PowerPoint
Strong computer, application, and web skills
Position may require coordination of and attendance at events outside normal business hours
Preferred:
Background working in a legal office or supporting attorneys
Experience with Concur
Knowledge of Microsoft Teams
Experience working in a start-up environment
Experience in healthcare or medical device industry
Work ENVIRONMENT:
Indoor open office environment
Minimal noise volume typical to an open office environment
Drug-free
Frequent repetitive motions that may include wrists, hands and/or fingers, such as keyboard and mouse usage
Frequent stationary position, often standing or sitting for prolonged periods of time
Frequent assessment of the accuracy, neatness and thoroughness of work assigned
Frequent computer use
Occasional phone and other business machine use
Occasional lifting required, typically between 2-15 pounds
