Overview:
Carollo Engineers is a nationally recognized engineering firm specializing in the planning, design, and construction of water and wastewater facilities. We are seeking a Construction Administrative Assistant to join our team. The Construction Administrative Assistant will support the Nashville Metro Omohundro Plant construction by performing on-site administrative duties (in a field office) to support the construction management of a $1.2B treatment plant in Nashville, TN.
Responsibilities:
Perform clerical and administrative functions in a construction field office
Support the review of construction invoices and supporting financial documentation
Plan and schedule appointments and events
Greet and assist onsite guests
Answer inbound telephone calls
Provide technical editing and document formatting
Develop, update, and review/format PowerPoint presentations
Produce and assemble PDF (Adobe or Bluebeam) documents and packets
Perform document storage and filing in the project management software (e-Builder)
Develop and implement an organized hardcopy filing system
Prepare meeting materials and minutes
Assist with travel arrangements
Manage office supplies, maintaining office equipment, mailing packages
Assist with onboarding new employees
Assist with project tours
Working in a manner to ensure your personal safety and that of fellow employees by following project and company health and safety guidelines and policies and supporting contractor health and safety performance
Complete miscellaneous projects and duties as assigned
Qualifications:
One or more years of office administration or other job-related experience
Proficient in MS Office Suite products including Excel, Word, PowerPoint, and Outlook
Excellent organization skills, capacity to handle multiple tasks and projects concurrently, and quickly adapt to new priorities
Strong oral and written communication skills
Strong work ethic, attention to detail, and commitment to exceptional client service
Demonstrated ability to build trust and positive business relationships
Effective problem-solving, facilitation, and negotiation skills
Preferred Qualifications:
Familiarity with SharePoint and Construction Management Software Systems
Familiarity with capital improvement construction or engineering projects
