To be responsible for:
I. Providing efficient and flexible business support to the Complaints, Information Governance team.
Main Duties:
1. To provide high quality, confidential and proactive administrative and project support that ensures the smooth running of the Complaints, Information Governance team.
2. To support the recording and processing of complaints, Individual Rights requests under the Data Protection Act 2018, Freedom of Information Act 2000 requests and Member casework.
3. To assist with the preparation of responses to complaints, Individual Rights requests, Freedom of Information requests and casework enquiries.
4. To receive, record and manage incoming correspondence, some of which may be of a confidential and sensitive nature and re-directing or signposting to third parties as appropriate.
5. To be responsible for processing invoices and other financial documentation in accordance with the council’s financial and procurement procedures.
6. To ensure the timely and confidential production of correspondence, reports and other documentation using the most appropriate technology and to ensure these comply with the council’s communication standards.
7. To maintain effective systems for electronic recording and paper filing, information retrieval and bring forward items.
8. To deal professionally, courteously, and confidentially with enquiries from members of the public and external organisations.
9. To provide effective cover for the service including dealing with senior officers, external agencies and members of the public who contact the service.
10. To undertake any other work appropriate to the level and general nature of the post’s duties.
11. To undertake all duties with due regard to the provisions of health and safety regulations and legislation, Data Protection/GDPR, the Council’s Equal Opportunities and Customer Care policies, and the New Technology agreement.
12. To undertake all duties with due regard to the provisions of health and safety regulations and legislation, the Council’s Equal Opportunities and Customer Care policies, and the New Technology agreement.
