We are excited to announce an opportunity to join our team in Bedford as a transport administrator on a fixed-term contract for 18 months.

The purpose of this transport administrator role is to support the transport manager and supervisors through the provision of high-quality, cost-effective transport administration support in line with company and regulatory requirements to ensure Whistl continues to deliver the highest quality, most cost-effective offering for its customers.

Key Responsibilities

Act as the first point of contact in the transport office for customers, drivers, and internal departments, resolving or escalating issues promptly.
Calculate, record, and report driver hours (core and agency) weekly, process payroll and HR paperwork, maintain tachograph records, and ensure compliance with legislation.
Update and track drivers' hours, holidays, and sickness.
Support the transport manager and supervisors with notetaking.
Assist with driver recruitment in collaboration with management and recruitment agencies.
Provide general support to the transport operation, including daily routing and licence checks.
Ensure accident forms are completed, actioned, and properly filed in compliance with all internal and external regulations (Mail Integrity, Safety, Carriage of Dangerous Goods, and Data Protection).We would welcome applications for this transport administrator role from candidates with skills or experience in the following areas: customer support, data protection, health & safety, compliance, driving regulations, reporting, MS Office, Isotrak, data analysis, as a transport clerk or transport administrator. Shift Time: Monday to Friday 14:00 - 23:00 Backshift

A flexible approach is required, on occasion, to support the needs of a 24-hour operation.

Essential Skills

Able to communicate effectively on the phone, face-to-face, and in writing to gain commitment from internal and external contacts at all levels
Able to work with minimum supervision and demonstrate the ability to effectively evaluate a situation and escalate appropriately
Ability to deal with confidential and sensitive information. Resilient and adequately robust when dealing with sensitive issues or conflicting viewpoints
Excellent organisational skills. Able to manage effectively to achieve deadlines through effective prioritisation and, where appropriate, delegation
Excellent attention to detail with a high degree of accuracy, even when working under pressure
Good understanding of UK and EU driving regulations and working time directives
Intermediate skills with MS Office, particularly Word, Excel, Outlook, and PowerPoint skills for data analysis, presentation, and reporting
Knowledge of working time directives, driver hours regulations, and tachograph compliance
Typically, we would estimate that it would take at least 2 years of experience in a similar role to acquire the knowledge and skills required
Full driving licence as you may be required to travel to our other site or for off-site meetings
Previous experience working with Isotrak or equivalent telematics and tracking software

Desirable Skills

The ability to provide support away from the normal location of work on occasions as required by the business would be beneficial.
