Overview:

The Operations Coordinator is responsible for leading the customer service communications and operations functions for our priority customers. This role is responsible for complying with and maintaining a list of orders for the priority customer and coordinating with all areas of operations: Supply Chain, Production, and Logistics. The Operations Coordinator will be the contact person within operations for sales and support priority customers on updates for the priority customers’ orders.

Responsibilities:

Organize and manage schedules, resources, and assets to ensure operational efficiency.

Coordinate meetings, appointments, and events for teams or departments.

Ensure that the necessary supplies and equipment are available and functioning.

Support the development and implementation of operational processes.

Monitor workflows, identify inefficiencies, and suggest improvements.

Ensure compliance with company policies and procedures.

Capture the Voice of the Customer through customer feedback to enable the improvement of operations execution.

Act as a liaison between departments to facilitate smooth communication and cooperation.

Address operational issues and concerns, working with relevant teams to develop solutions and escalating when necessary.

Provide updates to management regarding project progress, operational metrics, or challenges.

Establish periodic communication with the sales and support teams to anticipate needs and requirements.

Maintain accurate records of operations data such as schedules, budgets, and inventory.

Prepare and submit reports for management or external stakeholders.

Track and be responsible for KPIs and performance metrics related to operations including OTS / OTD.

Assist in troubleshooting equipment or resource issues.

Coordinate with external vendors, ensuring timely deliveries or services.

Support client-facing operations as needed, ensuring a high level of service and satisfaction.

Additional responsibilities as needed.

Qualifications:

High School Diploma or GED required

Minimum of 3-5 years of experience in customer service

Experience with developing/documenting procedures

Excellent interpersonal skills to lead the LATAM customer service coordination work

Demonstrated customer focus with drive and determination to improve performance

Demonstrated attention to detail and the ability to thrive in a team environment

Ability to exercise initiative, achievement, and use judgment to develop proposed solutions

Ability to multitask and manage several projects or workflows simultaneously

Accuracy in scheduling, reporting, and data management is crucial

Strong verbal and written communication to work effectively with different teams and stakeholders

Ability to quickly assess situations and come up with effective solutions

Efficient use of time to prioritize and meet deadlines in a fast-paced environment

Bilingual Spanish/English a plus

COMPUTER SKILLS:

Familiarity with office software (e.g., MS Office, Google Workspace)

Project management tools (e.g., Asana, Trello), and basic data analysis
