Overview:

We are seeking a detailed and organized Administrative Assistant to join our senior living facility at Fellowship Square located in Phoenix, Arizona. The primary purpose of this position is to perform reception and clerical duties in an efficient manner, in accordance with established procedures, and as directed by the Director of Resident Experience. This person must bring a special combination of energy, enthusiasm, positive motivation and self-direction to the job and possess superior customer service orientation.

Responsibilities:

Receive and adhere to the reception schedule and instructions from the supervisor, as outlined in the established policies and procedures.

Operate the computer, paging, and telephone systems efficiently.

Respond to telephone calls, ascertain the purpose of the call, and direct the call to the appropriate department within the facility or community.

Offer guidance and accurate directions to guests, residents, sales representatives, and visitors, ensuring compliance with established policies and procedures, with a particular focus on confidentiality and resident privacy in accordance with HIPAA guidelines.

Ensure that residents’ rights to fair and equitable treatment are followed.

Immediately report any suspicious individuals or unauthorized intrusions to Security and the Director of Resident Experience.

Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm attitude when visiting with staff, residents and visitors.

Maintain confidentiality of all pertinent resident care information to assure resident rights are protected.

Sort and distribute incoming mail and ensure outgoing mail is stamped and ready for pick-up.

Report unsafe and hazardous equipment and conditions immediately.

Other related duties may become necessary or as directed by the Director of Resident Experience.

Qualifications:

Must possess, as a minimum, a high school diploma.

Must be a minimum of 18 years of age and of good moral character.

A minimum of one year of experience in reception and clerical duties preferred.

Proficiency in reading, writing, and speaking the English language is required.

Ability to make independent decisions when circumstance warrants such action and to remain calm during emergency situations.

Ability to multi-task and work efficiently with technology.

Knowledge of administrative practices, procedures, and guidelines is necessary.

Ability to work well with others, maintain confidentiality of personnel files, and exercise discretion.

Ability to seek out new methods and principles and be willing to incorporate them into existing practices.

The capability to follow both written and verbal instructions.

Must be proficient with computer applications including Microsoft Office Suite programs.
