Overview:

AVIAN is seeking a Human Resources (HR) Assistant to provide administrative support to the Human Resources department in various functions, including recruitment and onboarding, record keeping and data management, employee relations and compliance, and training and development. The ideal candidate is detail-oriented, organized, and possesses strong communication skills. This role is crucial in ensuring the smooth operation of HR processes and contributing to a positive employee experience.

Responsibilities:

Administrative Support:

Provide general administrative support, including answering the HR email account messages, MS Teams messages, managing calendars, and organizing meetings.

Perform general clerical tasks, such as filing, scheduling appointments and meetings, and employment verifications.

Prepare correspondence for signature as needed

Assist in the preparation and distribution of employee communications and materials.

Recruitment and Onboarding Support:

Assist in the recruitment process as needed by screening resumes, scheduling interviews, and communicating with candidates.

Prepare onboarding materials and assist with the orientation process for new employees.

Ensure all new hire paperwork is completed accurately and in a timely manner.

Complete forms I-9, verify and maintain I-9 files

Set up and maintain employee files, ensuring compliance with company policies and legal requirements.

Employee Records and Data Management:

Maintain and update employee records in the HRIS system, ensuring data accuracy and confidentiality.

Assist in the preparation of HR reports, such as turnover, and headcount reports.

Employee Relations:

Act as a point of contact for employee inquiries, providing guidance on HR policies, procedures, and benefits.

Support HR initiatives and employee engagement activities, including supporting company-sponsored events and programs.

Compliance and Documentation:

Assist in ensuring HR policies and procedures comply with federal, state, and local regulations.

Training and Development:

Assist in coordinating employee training and development programs, including scheduling and tracking participation.

Maintain training records and ensure compliance with mandatory training requirements.

Qualifications:

Education:

High School Diploma

Experience:

1-2 years of experience in a similar role within an HR department is preferred.

Familiarity with HRIS systems and Applicant Tracking Systems

Hands-on experience with ADP and/or Deltek/Costpoint platform, is a plus

Skills:

Strong organizational and time management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Familiarity with Microsoft SharePoint and Microsoft Teams

Ability to handle confidential information with discretion.

Detail-oriented with strong problem-solving abilities.

Personal Attributes:

High level of integrity and professionalism.

Ability to work independently and as part of a team.

Positive attitude and willingness to learn.
