Overview:

Suncadia Resort is seeking a highly organized, proactive, and professional Executive Assistant to support the General Manager. This role is critical in ensuring the efficient operation of the Hospitality executive offices and providing clerical support to the Hospitality Senior Leadership Team. The ideal candidate will be a master multi-tasker with excellent communication skills and a positive, action-oriented, upbeat attitude.

Salary Range: $24.00/hour - $30.00/hour

Responsibilities:

Executive Support:

Provide high-level administrative support to the General Manager.

Manage complex calendars, schedule meetings, and coordinate travel arrangements.

Prepare and edit correspondence, communications, presentations, and other documents.

Handle confidential information with discretion and professionalism.

Organize and maintain files and records, ensuring accuracy and accessibility.

Act as a liaison between the General Manager, and internal/external stakeholders.

Meeting Coordination:

Plan, organize, and coordinate meetings for the General Manager, including preparation of agendas, distribution of materials, and meeting minutes.

Assist in the preparation of reports, presentations, and other meeting materials.

Ensure meetings run smoothly, addressing any technical or logistical issues promptly.

Project Management:

Assist in the coordination and management of special projects and initiatives led by the General Manager.

Track project progress and provide regular updates to the General Manager.

Conduct research and compile data to support decision-making and strategic planning.

Clerical Support:

Provide clerical support to the Hospitality Senior Leadership Team, including filing, data entry, document management

Provide analytical reports and prepare presentations.

Assist with the coordination of leadership events and functions, including logistical arrangements and attendee communications.

Manage office supplies and ensure that office equipment is maintained and functioning properly.

Coordinate and prepare expense reports for the General Manager, ensuring accuracy and timely submission.

Manage incoming and outgoing mail, couriers, and deliveries for the executive office.

Communication:

Serve as the primary point of contact for the General Manager, managing phone calls, emails, and other communications.

Screen and prioritize communications to ensure timely responses.

Draft and proofread correspondence, reports, and other documents as needed.

Hospitality and Guest Relations:

Greet and assist visitors to the General Manager’s office, ensuring a professional and welcoming environment.

Coordinate VIP guest visits, including accommodation arrangements and itineraries.

Handle guest inquiries and issues with tact and professionalism.

Donation Requests Management:

Handle all donation requests, including correspondence with requestors, gift certificate creation, billing, and tracking.

Ensure the resort’s philanthropic needs are achieved by managing and monitoring donation activities.

Maintain accurate records of all donation requests and their outcomes.

Coordinate with internal departments to fulfill donation requests and ensure timely delivery.

Qualifications:

Bachelor’s degree in business administration, Hospitality Management, or a related field preferred.

Minimum of 3 years of experience as an executive assistant, preferably in the hospitality industry.

Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.

Excellent written and verbal communication skills.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Ability to handle confidential information with integrity and discretion.

Professional demeanor and appearance, with excellent interpersonal skills.

Strong problem-solving abilities and a proactive approach to work

Flexibility to work outside standard office hours when necessary.
