The Finance Department at our Eastern Territorial Headquarters has an opening for an Administrative Assistant. The primary purpose of the Administrative Assistant is to provide secretarial support to the Assistant Territorial Finance Secretary, Territorial Finance Secretary. Territorial Director of Corporate Finance (DOCF) and Territorial Controller, in expediting the workflow for these offices with minimal supervision.
Based in West Nyack, NY this position requires approximately 35 hours of work per week and may be eligible for a hybrid work arrangement.
Responsibilities:
Territorial Finance Council (TFC)Prepare, process and distribute: the agenda, minutes, NOA’s and correspondence
Responsible to enter TFC items in TSAMM – ensuring accuracy, consistency, grouping of agenda items and journal all issues within TSAMM
Handle all correspondence for the USETFC email account
Continually review procedures and update accordingly for back up personnel
Maintain a bring up system (BUP) for Territorial Finance Council
Maintain the Mission Support Database (THE HIVE), by making appropriate entries subsequent to TFC decisions
Personally provide for the clerical, administrative and communication needs of the office of the ATFS,TFC, the DOCF, Territorial Controller and staff when neededAssist on inquires and relay messages
Process incoming and outgoing mail for the AFS/TFS as requested
Assist maintaining calendar entries
Order department office/kitchen supplies
Organize and schedule meetings, preparing materials when necessary for all participants
During External Audit season, produce and route correspondence to and from External Auditors, as directed
Process corporate documents on behalf of the department via Legal database as needed.
Handle department notary duties as needed.
Maintain the Out of Office database for the department
Maintain Smartdata for the department corporate card
Maintain department lists upon any changes in personnel or officer appointments
Back up for mail: sorting and drop off
Department Logistics: coordinate special events for department
Maintain Territorial Command Personnel Listing
Maintain minutes for standardization meetings
Maintaining and procuring of office equipment as needed.
Qualifications:
Associate's degree
1-3 years of related experience
Excellent Communication skills, both oral and written
Discretion and high level of confidentiality are imperative
Advanced technical skills: Word and Excel
Knowledge of PowerPoint, Publishers, Adobe Acrobat, Lotus Notes, TSAMM
Ability to work independently and with initiative
Ability to multi-task and prioritize
Sound judgement and a calm, professional demeanor
Notary – a plus
