Job Title: School Office Manager

Reports to: Head Teacher

Location: Huddersfield

Hours - Monday - Friday + 5 Days

Maze Recruitment Group are recruiting a School Office Manager for our Huddersfield based Primary school on a permanent basis. The School Office Manager is responsible for managing the day-to-day administrative operations of the school office. This role involves coordinating office activities, managing communications, maintaining records, overseeing office staff, and providing administrative support to the school's leadership team.

Key Responsibilities:

* Oversee daily operations of the school office to ensure efficient and effective workflow.

* Maintain office supplies and ensure all equipment is functioning properly.

* Manage the school's calendar, including scheduling meetings and events

* Handle incoming phone calls, emails, and correspondence, ensuring prompt and professional responses.

* Disseminate important information to staff, parents, and students as needed.

* Coordinate and prepare communications such as newsletters, bulletins, and memos.

* Maintain accurate and up-to-date student and staff records, including attendance, enrollment, and personal information.

* Prepare and submit required reports

* Assist in managing the school’s budget and financial transactions, including processing purchase orders and invoices

* Collect and process payments for school activities, fees, and other financial transactions.

* Provide administrative support to the Head Teacher and other school leaders

* Assist in the coordination of school events, such as parent-teacher conferences, assemblies, and graduation ceremonies.

* Support the development and implementation of school policies and procedures.

* Maintain staff attendance records and assist with payroll processing.

* Assist students and parents with inquiries, concerns, and administrative needs.

* Manage the student enrollment and registration process.

Qualifications:

Education and Experience:

* Previous experience of office management, preferably in an educational setting.

Skills and Competencies:

* Strong organisational and time management skills.

* Excellent verbal and written communication skills.

* Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook).

* Ability to manage multiple tasks and priorities in a fast-paced environment.

* Familiarity with school administration software.

* Strong interpersonal skills and the ability to work effectively with diverse groups of people.

* Knowledge of basic financial management and budgeting principles.
