Customer Service Coordinator

Salary: Starting salary commensurate with experience and qualifications
Location: This role is Kilwaughter, Co. Antrim

Purpose: This is a fantastic opportunity to join our team and work as part of a growing business
that is prepared to invest in your future.
We currently have an opportunity for an experienced and ambitious Customer Service
Coordinator to join our team. Working as part of an enthusiastic and dynamic sales
team you will be primarily responsible for processing of customer orders accurately and
in line with company procedures as well as reception and front desk duties.

Customer Service Coordinator Key Responsibilities:
• Greet and welcome visitors, customers, hauliers and other stakeholders when they arrive at the office.
• Direct visitors to the appropriate person/location, and communicate PPE rules where necessary.
• Answer and transfer incoming calls.
• Receive and sort post/deliveries.
• Provide cover and assistance with packing & shipment of sample orders.
• Provide cover and assistance with weekly ordering of office canteen supplies.
• Process customer orders accurately using the NAV computer system in line with company procedures.
• Check emails to ensure orders are processed quickly and efficiently to meet daily targets.
• Check customer orders to ensure all customer requirements are met.
• Update customer details on NAV computer system.
• Assist with finance queries regarding customer orders.
• Effectively communicate and liaise with internal and external customers regarding queries on any orders.
• Update the sales order process manual to highlight any changes that may occur.
• Maintain files, update records and provide quick accurate information when required.
• Assist with sales & marketing administration where required.
• Ensure good relations and communications with all members of the team, providing excellent customer
care in an efficient manner.
• Establish, develop and maintain effective working relationships with all work colleagues to ensure a ‘one
team approach’ to the delivery of the company’s performance standards and the business objectives.
• Undertake any other duties within reason and capability, and act as an ambassador for our company
values, behaviours and adhere to all company procedures.

Criteria Essential Desirable:
Education

• A minimum of GCSE or equivalent at grade C or above in English and Maths
• A customer service related qualification

Experience

• Experience of answering, screening, and transferring calls
• 2 years’ experience in a customer facing role

• Experience in high speed accurate data entry
• Experience in providing advice and assistance to work colleagues and customers
• Experience handling confidential information
• Proven strong planning, organising and time management abilities
• More than 1 years experience in a varied administrative support/reception role

Skills and Competences

• Must be proficient in the use of Microsoft Office including Microsoft Word, Excel
• Excellent communication skills, oral and written
• Excellent interpersonal skills
• Excellent attention to detail
• Well organised and self-motivated
• Ability to work on own initiative
• Strong customer focus
• Ability to work effectively under pressure and to tight deadlines
• Knowledge of Microsoft Navision

Circumstances

• Able to work flexible hours as required and to travel as required to ensure business needs are met
• Possess a full, current driving licence
