Administrative Assistant Summary:
This position will be responsible for providing high-level administrative support to the leadership team. Must be able to handle multiple tasks while meeting simultaneous deadlines.
Responsibilities:
Answer/screen incoming telephone calls and greet/screen guests in a friendly, polite and professional manner
Provides clerical and administrative support to leadership
Prepare and process leadership expense reports in a timely manner
Schedule and coordinate meetings, appointments and business travel arrangements
Proactively manage calendars, schedules, and appointments by anticipating current priorities and areas of focus in order to prioritize and arrange future schedules
Type business letters, memorandums, presentations and other correspondence in an accurate and timely manner
Create and edit presentations/spreadsheets
Ability to see overall goals and execute appropriate details; maintain systems and processes to ensure execution of projects
Effectively communicate with others and solve problems on a daily basis
Special projects as assigned
Assist Post Closing with Scanning backlog
Schedule Iron Mountain pickup of files
Prepare Certified RRR mailings
Open all checks for Excel Energy and log/classify them
Enter rebate checks in the system
Prepare the check deposit log for accounting
Order lunch during month end closing/billing for Acctg and Asset Mgmt respectively
Community PDF clean-up for Asset Management
Qualifications:
Bachelor’s Degree or equivalent experience required
Minimum of five years’ office experience in a professional atmosphere providing administrative support
Highly PC proficient, including Microsoft Office, Word, Excel, PowerPoint, Visio and OneNote
Must be diplomatic, thorough, customer-service minded, detailed and professional
Ability to interact professionally with all levels of management, division associates, Corporate associates, customers, outside entities, etc.
Impeccable communication skills & phone etiquette
Good writing and organization skills
Team player with ability to work well under pressure
Must be able to handle multiple tasks while working under pressure to meet simultaneous deadlines
Working knowledge of standard office equipment such as copiers, printers, fax machines, etc.
Valid driver’s license
Physical Requirements:
This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office supplies and materials weighing 25 pounds or less. Must be able to operate a computer keyboard, telephone, fax and copying equipment. May be required to operate a motor vehicle.
FLSA Status: Non-exempt
