Fixed Term Opportunity for 6 months

Location: Kingston House
Hours: 37.5 hours per week

We are looking for a proactive and organised Facilities Assistant to join our Estates & Facilities team. This is an exciting opportunity for someone who enjoys a varied role combining reception, administration and facilities support responsibilities.

About the role

As the first point of contact for colleagues, visitors and contractors, you will play a vital role in ensuring the smooth day-to-day operation. You will provide professional front-of-house support while assisting with facilities administration, site coordination and workplace services.

Key responsibilities include:

Direct support to the Facilities Manager

Support the Head of Estates and Facilities with the mobilisation and operational setup of services on a new start up project.

Update maintenance or CAFM systems with completed tasks. (Top Desk Reporting Portal)

Support tasks such as raising purchase orders and managing suppliers.

Maintain accurate records, logs, and compliance documentation.

Monitor and report progress against mobilisation objectives, escalating risks or delays to the Head of Estates and Facilities as required.

Help ensure a consistent Estates and Facilities service model is embedded across the new site, and existing organisational locations

We're looking for an individual who is organised, professional and able to manage a busy and varied workload.

You will have:

Previous administration experience

Excellent communication and customer service skills

Experience using IT systems, spreadsheets and reporting tools

Strong organisational skills and attention to detail

The ability to work independently and as part of a team

A proactive approach and the ability to prioritise competing tasks

Desirable:

Experience in a reception or facilities support role.

Administration experience within healthcare, estates or facilities environments.

MS Office qualifications, NVQ Level 2 Administration (or equivalent).

Full driving licence.
