Fleet Administrator
Location: Horley
Contract: Temporary to Permanent
Hours: Monday to Friday, 40 hours per week
Pay: £14.42 per hour

Key Responsibilities
- Maintain accurate records for all fleet vehicles, including servicing, MOTs, insurance, road tax and compliance documentation.
- Coordinate vehicle servicing, repairs, inspections and maintenance schedules to minimise downtime.
- Support the management of vehicle acquisitions, disposals, leasing and hire arrangements.
- Monitor vehicle compliance, ensuring all legal and regulatory requirements are met.
- Maintain driver records, including licence checks, training records and other compliance documentations
- Coordinate vehicle handovers and driver onboarding.
- Administer fuel cards, monitor fuel usage and reconcile fuel-related records.
- Process fleet invoices and maintain accurate financial records relating to fleet expenditure.
- Liaise with garages, suppliers, insurance providers and breakdown services to ensure efficient fleet operations.
- Record and administer vehicle incidents, fines, insurance claims and associated documentation.
- Monitor telematics and vehicle tracking systems, producing reports where required.
- Prepare fleet performance reports, maintenance schedules and cost analysis for management.
- Act as the first point of contact for fleet-related queries from internal teams and drivers.
- Support continuous improvement of fleet processes and administrative procedures.

The ideal candidate will have:
- Previous experience in a Fleet Administrator, Fleet Coordinator or Transport Administrator role.
- Strong administrative and organisational skills with excellent attention to detail.
- Good knowledge of vehicle compliance, including MOTs, road tax, insurance and driver licence requirements.
- Experience using Microsoft Office, particularly Excel.
- Excellent communication skills and the ability to build relationships with drivers, suppliers and internal stakeholders.
- The ability to manage multiple priorities and work to deadlines.
- A proactive and problem-solving approach.
- Experience using fleet management or telematics systems would be advantageous.
- A full UK driving licence is essential
