About the Role

As an Administration Coordinator, you'll play a central role in supporting the smooth day-to-day running of the office. Acting as the face of the business for visitors and guests, you'll create a professional and welcoming environment while providing essential administrative support across the organisation.

This is a varied role that offers exposure to a broad range of responsibilities, from office coordination and administration to facilities support and stakeholder engagement. You'll be encouraged to use your initiative, contribute ideas, and identify opportunities to improve processes and ways of working.

You'll also support the facilities management of the office, helping to ensure colleagues have a safe, efficient, and enjoyable workplace. Occasional travel to other offices across the South may be required.

Key Responsibilities

Acting as the face of the business and creating a positive experience for visitors, clients, and guests.
Managing incoming calls, emails, and shared inboxes professionally and efficiently.
Providing comprehensive administrative support across the organisation.
Maintaining accurate records, databases, and internal systems.
Coordinating meeting rooms, visitor arrangements, refreshments, and hospitality.
Organising travel and accommodation bookings.
Supporting senior leaders and wider teams with day-to-day administration.
Assisting with company events, meetings, and internal initiatives.
Supporting the facilities management of the office, including supplier coordination, office supplies, workplace organisation, and contractor liaison.
Managing incoming and outgoing post and deliveries.
Supporting health and safety administration and operational checks.
Proactively identifying and suggesting improvements to office processes and the overall workplace experience.

Essential Skills & Experience

✅ GCSEs (or equivalent) in English and Mathematics

✅ Previous experience in an administrative, office support, customer service, reception, hospitality, or coordination role

✅ Excellent communication and interpersonal skills

✅ Professional and confident telephone manner

✅ Strong IT skills, including Microsoft Office applications

✅ Excellent organisational skills and attention to detail

✅ Ability to manage multiple priorities and work effectively in a busy environment

✅ A positive attitude and willingness to support colleagues across the business

✅ Ability to use initiative and identify opportunities for improvement

Desirable Skills & Experience

⭐ Experience working within a professional services environment

⭐ Knowledge of Adobe Creative Suite, including InDesign, Illustrator, and Photoshop

⭐ Experience coordinating meetings, events, or office operations
