Are you an organised Administrator with excellent attention to detail and a passion for delivering great customer service?

We are recruiting on behalf of a successful and growing business seeking a proactive Administrator to join their Quality Assurance team. This is a varied role combining administration, customer service, order processing and coordination duties, making it ideal for someone who enjoys working in a busy office environment and managing multiple priorities.

The Role

As an Administrator, you will play a key role in ensuring the smooth running of departmental operations through accurate record keeping, customer support and effective coordination of equipment, orders and documentation.

You will be responsible for maintaining accurate records, supporting customers with enquiries, processing orders and quotations, and coordinating collections and deliveries.

Key Responsibilities

Administration & Order Processing

Maintain and update documentation and departmental records
Log and track incoming equipment for calibration
Maintain the QA Order Book and customer order records
Prepare and issue quotations, following up outstanding quotes
Raise and manage sales orders and purchase orders
Set up and maintain customer accounts
Process customer payments securely via card payments

Customer Service

Provide excellent customer support via telephone and email
Assist customers with orders and general enquiries
Manage standing orders and recurring customer agreements
Send calibration reminders and follow-up communications
Build strong relationships with customers and provide a professional service

Coordination & Logistics

Arrange collections and returns using couriers and internal drivers
Liaise with courier companies to resolve delivery and collection issues
Ensure equipment movements are accurately recorded and tracked

General Office Support

Maintain accurate filing systems and databases
Support the wider QA team with administrative tasks
Assist with process improvements and continuous development initiatives

About You

To be successful in this role, you will have:

Previous experience in an administrative position
Excellent organisational skills and attention to detail
Strong written and verbal communication skills
The ability to prioritise workload and meet deadlines
Good customer service skills
Experience using Microsoft Office, including Word, Excel and Outlook
The ability to work both independently and as part of a team

Desirable

Experience within a quality, compliance, technical or regulated environment
