Executive Assistant - C-Suite

*Contract to Permanent up to £60,000.*

Our client, a leading global financial services organization, is seeking an experienced and highly organized Executive Assistant to support the Head of Digital Engineering Services and Solutions. This is a fantastic opportunity for an individual with strong coordination, diary management, and communication skills to join a dynamic team.

Key Responsibilities:
  • Efficiently coordinate and manage diaries, meetings, and events for the Head of Digital Engineering Services and Solutions, ensuring all required materials are prepared in advance.

  • Proactively identify priority meetings, ensuring smooth scheduling and adherence to timelines.

  • Coordinate with Executive colleagues across the group, including the Digital Engineering Services and Solutions Management Team.

  • Act as host for meetings and events, including welcoming senior leaders and international visitors.

  • Plan and execute departmental events such as town halls and leadership gatherings.

  • Manage sensitive and confidential information, responding to high-level queries.

  • Monitor and manage the Head of Digital Engineering Services mailbox, prioritizing correspondence and ensuring deadlines are met.

  • Oversee travel arrangements, including detailed itineraries, flight and hotel bookings, and visa applications where required.

  • Collate meeting deliverables, liaise with stakeholders, and distribute minutes and action points.

  • Assist in preparing strategic documents, policies, reports, and presentations for high-level committees and meetings.

  • Manage expenses, leave requests, and business administration tasks for senior leaders.

  • Draft and distribute high-quality communications, ensuring accuracy and clarity.

  • Support new starter setup for senior department hires.

  • Oversee general office administration, including ordering supplies and maintaining organizational processes.

  • Act as the primary point of contact for business administration-related queries.

Essential Skills & Experience:
  • A minimum of 5 years' experience as an Executive Assistant.

  • Previous experience in a fast-paced administrative role within a corporate environment.

  • Strong track record of interacting effectively with Senior Management.

  • Excellent organizational, time-management, and coordination skills.

  • Exceptional communication and interpersonal abilities.

  • High level of discretion when handling confidential information.

Desirable Skills & Experience:
  • Experience working within the Financial Services sector.

  • Executive Assistant experience supporting Managing Directors and/or C-Suite Executives.
