Job Title: Personal Assistant to Operations Director

Duration: 6-Month Fixed Term Contract - potential to extend

Location: Peterborough (Hybrid working with 2 days a week on-site)

Salary: £35,000 per annum

About the Role:

We are seeking a proactive and highly organized Personal Assistant to support our Operations Director on a 6-month fixed-term contract. Based in Peterborough, this role offers a flexible hybrid working model with an expectation of 2 days per week on-site. As a key member of the team, you will play a pivotal role in managing the day-to-day operations, providing first-rate administrative support, and helping to drive efficiencies within the department. Key Responsibilities:

  • Diary Management: Coordinate and manage the Director's schedule, ensuring efficient time management and preparation for key meetings and deadlines.
  • Meeting Coordination: Arrange and prepare materials for meetings, take minutes, and follow up on action points to ensure accountability.
  • Communication: Act as the first point of contact for the Director, managing emails and correspondence in a professional and timely manner.
  • Travel Arrangements: Organize and book travel, accommodation, and itineraries as required for the Director's business commitments.
  • Project Support: Assist with administrative tasks for ongoing projects, including documentation and tracking of key milestones.
  • Document Preparation: Prepare and edit presentations, reports, and other documentation for the Director as required.
  • Office Support: Handle ad hoc administrative tasks, including office supplies management and liaising with other departments to ensure smooth operations.

Requirements:

  • Experience: Previous experience as a Personal Assistant or similar role, preferably within a corporate or operations environment.
  • Organizational Skills: Strong organizational abilities, with a knack for multitasking and prioritizing in a dynamic setting.
  • Communication Skills: Excellent written and verbal communication skills, with a professional demeanor.
  • Proficiency: Competent in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
  • Problem Solving: Ability to anticipate needs and proactively resolve challenges with minimal supervision.
  • Confidentiality: Discretion and confidentiality are essential, as you will handle sensitive information.
