The Opportunity:
We are looking to attract Senior Team Administrator for a leading pharmaceutical company to provide administrative and clerical support in a fast-paced corporate environment for our client's Medical Affairs teams.
The role is based in Stockley Park, Uxbridge, with excellent flexible working arrangements available (two to three days per week onsite and home-based for the remainder of the week).
Skills and Experience:
- Proven administration experience within a fast-paced international organisation
- Highly organised with a systematic approach to all tasks and will require a solution focused mind-set as this is a new system in place for our client
- Excellent verbal, written, and interpersonal skills and strong attention to detail and a team player willing to help and learn wherever possible
- Ability to extend support across different locations, managing stakeholders and their expectations
- Experience with data management and MS Office (advanced MS Word, MS Excel & MS PowerPoint)
- Experience within the Pharmaceutical industry needed, preferably in Medical Affairs or a Quality, Pharmacovigilance or Regulatory department would be very beneficial
Role and Responsibilities:
- To manage congress allocations for Medical Affairs, managing 800 allocations across 60 departments, collating names and entering them into our internal system (this is estimated to be a third of the role)
- Support and assist Event Managers with our client's internal approval system to ensure events are compliant and the system is updated in a timely manner (this includes communicating with colleagues and affiliates for any needed information)
- Possible travel to events as onsite support, approximately 3 to 4 times a year (all travel is within Europe)
- Ensure constant review of the final reconciliations against invoices to ensure these have been accurately completed
- Provide requested reviews for the transfer of value reports (MS Excel spreadsheets) to check data is accurate
