A Japanese Asset Management firm located in Midtown, NY is looking for a HR Coordinator. This is a hybrid position that requires working from the office 3 days a week.

Reports To: Human Resources Generalist (to Human Resources Specialist and CAO) Overtime Eligible (Y/N): Y (Non-Exempt)

Position Summary

Support the organization's human resources function, including administration of recruitment and onboarding activities, organizing and executing company events, and responsibility for all HR related administrative tasks.

Essential Duties/Function:

Coordinate recruitment activities by preparing recruitment contracts under supervision, posting open positions, serving as liaison with recruiting agents and candidates, maintaining the companys applicant tracking system, screening and tracking resumes, scheduling each round of the interview process, tracking candidate status throughout the process, etc.

Prepare for orientation and onboarding of new hires including conducting reference and background checks, coordination of first day schedule, assisting with the human resources & benefits new hire orientation, generating correspondence and forms to be sent to new hires and relevant parties prior to first day and upon employment, tracking and following up on all outstanding documents, etc.

Generate and maintain departmental correspondence, including but not limited to labor law notices/postings, HR documents and files, updating HR folder in Teams, etc. Distribute and track all HR Department email announcements, policy updates, and meeting invites; prepare and circulate paperwork for management approvals; launch new hire sexual harassment prevention training and track completion.

Plan and execute company events including company vacation party and volunteer initiatives. Lead respective committees and delegate related tasks to members. Administer and track matching gifts and service award programs in accordance with policy.

Respond to basic queries pertaining to recruitment, company events or administrative HR initiatives.

Support HR audits, projects and/or budgets, collect and/or prepare related information.

Provide back-up Reception coverage during absences. Assist with coordinating weekly Company-sponsored lunches.

Miscellaneous duties as assigned.

Experience/Qualifications:

Bachelors Degree in Human Resources, Industrial/Organizational Psychology, Business Administration, or related field required. At least 1 year of professional work experience in Human Resources or related field within a corporate environment required; prior recruitment experience required.

Previous experience in BambooHR or another applicant tracking system required. Strong knowledge of Microsoft Office (Word, Excel, PowerPoint).

Excellent communication skills (including via phone, e-mail, and in person); ability to independently compose correspondence and review documentation.

Proficient in data entry and budget management.

Organized and able to follow up on multiple tasks without direction.

A professional and flexible team player with strong attention to detail and accuracy; must display discretion in handling personal and sensitive confidential information. Excellent interpersonal skills with ability to adapt and collaborate with various departments and all levels of staff.
