Responsibilities:

The Nursing Office Payroll/Scheduling Coordinator will be accountable for the administrative processes of data entry, timekeeping, and scheduling for inpatient units. The position will provide leadership and participate in establishing priorities and problem-solving issues. Under the direction of the Nursing Office Manager, the Nursing Office Payroll/Scheduling Coordinator will perform all duties related to, but not limited to, coordinating staffing for inpatient units around the clock, supporting staff with paycheck questions/issues, EBT/HOL time, Sick/time, etc. and any UKG related questions. Must be able to perform diversified administrative functions (e.g., word processing, documenting meeting minutes, answering phones) for the department. The Nursing Office Payroll/Scheduling Coordinator will utilize tools such as UKG time management system as well as Microsoft office.

Plans and schedules annual vacation request for 1199 employees in the Nursing Department.

Enters the schedules into UKG for each of the Nursing units in four-week blocks of time.

Reviews and verifies overtime sheets to ensure they match with employee punches in UKG, using appropriate pay codes.

Accurately records use of sick, EBT, vacation and personal days for employees in the Nursing Department.

Performs time entry for employee with missed punches.

For Per-diem Employees: reviews employee sign in book to assure compliance with punches in UKG.

For Floating Employees: assures that employees are coded out to the appropriate departments.

Generates summary reports as requested and maintains essential data.

Processes preceptor pay as outlined in the NYSNA contract.Distribute payroll checks and pertinent notices to personnel every two weeks with each pay period.

Reviews staffing daily and coordinates overtime needs and requests for additional staffing for all shifts.

Monitors all sick calls and phones employees for coverage when needed or requested by Nursing Director, Administrative Supervisor or Assistant Vice President or Chief Nursing Officer.

Assists employees and/or Nursing Directors with questions regarding schedules or paychecks.

Monitors patterns of absenteeism and tardiness and reports to Nursing Director/Assistant Vice President of Nursing Service.

Performs receptionist responsibilities when necessary, including but not limited to:

Answer phones, screens visitors/staff and relays messages.

Records employee absence and sick calls.

Receives and distributes mail within the office.

Maintains outside files and general tidiness of areas.

Process request for Private Practice Nurses and Aides and verifies charges for agency bills.

Maintains effective communication with nursing staff, patients, families, and other hospital staff.

Maintains an organized office, assists with monitoring of office supplies.

Maintains the confidentiality of office correspondence and records and office discussion.

Participates in continuing education to meet established requirements and for own job development.

Participates in the orientation of new clerical staff as directed.

Obtain supplies for nursing office from storeroom when necessary. Follows St. John’s Riverside Hospital attendance policy.

Develops strategies and workflows to improve overall operational performance and presents action plans to resolve issues.

Perform other related assigned duties.

Performs unrelated duties in times of emergency.

Sits, stands, bends, lifts, and moves intermittently during work hours.

Must be able to lift, push, pull and move a minimum of thirty-five (35) pounds.

Telephone and verbal communication. 

Qualifications:

SKILLS, EXPERIENCE AND QUALIFICATIONS

• Minimum 2 years’ office experience, preferably in a payroll/office position.

• Basic personal computer skills, data entry and retrieval. (Microsoft Word & Excel)

• Basic skills in use of office equipment. (Calculator, phone system, photocopy machine, answering machine, ect.)

EDUCATION

• Bachelor’s degree in Health Care administration preferred / payroll experience preferred
