A growing, Houston-based professional services firm, G&A Partners is currently seeking a Bilingual Receptionist to join its team at the G&A satellite office located in Provo, UT.

Summary
This position works in our Provo office 5 days per week. Answers inquiries and provides information to the general public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization. Assists with new hires to complete onboarding in person or on phone in English and Spanish.
Must be able to work under pressure and remain calm when dealing with difficult customers.

Responsibilities:
Greets and welcomes guests providing prompt and courteous service as soon as they arrive at the office.
Directs visitors to the appropriate department and/or person.
Uses a multi-line telephone system and appropriately routing all incoming calls for various businesses and clients with courtesy, speed, and accuracy.
Answers phone calls quickly and professionally.
Connects callers and visitors with the right employees quickly and efficiently.
Attends to customers quickly, gives updates on waiting time if necessary.
Maintains office security by following safety procedures and controlling access via the reception desk.
Handles customer service problems and requests by listening and clarifying the customer’s complaints.
Ensures the reception area and all common spaces are tidy and presentable, with all necessary stationery and materials stocked
Sorts and delivers incoming mail by department and/or employee to ensure timely distribution.
Orders and stocks supply needed in the breakroom.
Assists with onboarding steps when new hires come into the office.
Sends out time sensitive paperwork (including, but not limited to LOA paperwork) to worksite employees who don’t receive paperwork electronically.
Completes verification of employment requests and other time sensitive requests for worksite employees.
Works in Provo, UT office each business day.
Other Duties:
Performs other administrative duties from inserting, copying, and scanning as needed.
Assists other administrative staff with special projects that require word processing, data entry and online research.
Perform other duties as assigned.
Qualifications:
Education:
High school diploma or equivalent.
Some college classes are preferred but not required.
Skills & Experience:
Bilingual – Spanish/English is required
4+ years of experience as a receptionist is preferred
Professional attitude and appearance
Outgoing personality, dedicated, reliable and flexible
Excellent organizational skills
The ability to take initiative in completing assigned work and projects
The ability to handle time-sensitive and confidential information/ documents
Solid written and verbal communication skills
Multitasking and time-management skills, with the ability to prioritize tasks
The ability to be resourceful and proactive when issues arise
Background in payroll, HR, benefits, or prior PEO industry—a plus
Passion for excellence with respect to treating and caring for customers (internal and external)
Computer Skills:
Proficiency in Microsoft Office products.
