Damar is looking for passionate Executive Assistant to provide direct support to the President & CEO, while also supporting all board of director activities and offering additional support to the entire executive team. In this multifaceted role, the Executive Assistant plays a pivotal part in ensuring seamless communication and coordination across leadership, acting as a vital link between the President & CEO, the board, and the broader executive team.

Provides direct administrative support to the President & CEO, ensuring timely management of the CEO's day-to-day calendaring to meet regulatory documentation standards.

Coordinates communication efforts for the Board of Directors and DCA Board of Directors, ensuring timely and professional interactions.

Oversees all logistics for Board of Directors meetings, from selecting venues and managing vendors to preparing and distributing meeting materials.

Supports the broader executive team by managing correspondence and various administrative tasks to ensure smooth operations across all departments.

Oversees the use of the Damar visa card, ensuring proper allocation for agency needs.

Upholds all policies and procedures outlined in the Employee Handbook and Damar Operational Policies and Procedures Manual.

Takes pride in maintaining the cleanliness and functionality of Damar’s facilities and assigned workspaces.

Actively participates in mandatory staff meetings and other assigned gatherings.

Ensures all mandatory training and licensure requirements are completed and updated promptly.

Maintains clear, accurate, and legible documentation at all times.

Completes incident reports and promptly reports any suspicion of client exploitation, abuse, or neglect.

Ensures the agency meets its quality improvement and reporting standards, driving ongoing excellence.

Engages in data collection and analysis to improve service delivery, practices, and overall outcomes.

Uses data insights to track and achieve agency goals and initiatives.

Seeks ways to optimize resources, including staff and equipment, for maximum efficiency.

Acts responsibly with Damar and client financial resources, demonstrating fiscal responsibility.

Respects the culture, diversity, and rights of all clients, their families, and the broader community.

Proactively identifies solutions to enhance stakeholder satisfaction and foster continuous improvement.

Prioritizes responsibilities in alignment with the agency's goals for growth and success.

Performs additional duties as needed to support the organization’s mission.

What you need to be considered...

High School Diploma required. Bachelor’s degree preferred.

10 years of office management or administrative experience, including 5 years in a supervisory role preferred.

Experience providing administrative support at the executive level is also preferred.

A proven track record of exceptional results and/or customer service may be considered in place of these requirements.

Proficiency with MS Office applications including Word, Excel, Outlook and PowerPoint.

Minimum age of 21 depending on program and / or department requirements

Must meet and maintain background screening requirements for all Damar Programs

Valid Indiana driver’s license and driving record that meets eligibility requirements of Damar’s insurance carrier (for all positions requiring driving)

Successful completion of pre-employment drug screen and physical required. 

Essential Job Functions:

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 35lbs); to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.

Vision: See in the normal visual range with or without correction.

Hearing: Hear in the normal audio range with or without correction.
