Overview:

The College of Agriculture and Applied Sciences is seeking to hire an Administrative Assistant – Senior to serve as the dean’s assistant. This position requires an experienced and highly professional individual to support the dean in a team-based Environment. The successful applicant will work primarily with the dean to manage the dean’s calendar, create and process documents, organize meetings and events, supervise staff assistants and student interns, coordinate promotion and tenure documentation, and perform other duties as directed by the dean. The essential qualities for the position include self-motivation, dependability, attention to detail, editing skills, the ability to communicate effectively with a wide variety of constituents, and a proficient knowledge of Microsoft Office products and other software used at USU.

This position is completely in person and is not eligible for telework.

Responsibilities:

Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general duties as assigned.

Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings.

Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.

Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the office.

Composes and word-processes various standard documents, correspondence and reports.

Prepares agendas, coordinates meetings, and transcribes meeting minutes.

Maintains current personnel files.

Tracks faculty tenure and promotion processes.

Works with Assoc Dean for Academic Programs and Student Services to support CAAS initiatives.

Coordinates recognition of work anniversaries

Plans and executes events, including banquets, receptions, retreats, etc.

Hires, trains, and supervises other office personnel.

Plans details and assist with college graduation ceremony.

Performs miscellaneous job-related duties as assigned.

Qualifications:

Minimum Qualifications:

Six years of experience; or vocational/technical training/associate degree in an office or business field plus four years of related experience; or a bachelor’s degree in a related field plus two years of experience is required.

Knowledge, Skills, and Abilities:

Skilled with computer programs, including spreadsheets, relational databases, presentation software, and graphic packages.

Excellent organizational skills.

Skilled in creative problem solving.

Adaptability, organization, a positive attitude.

Anticipate, plan ahead, and prepare for upcoming tasks and events.

Skilled with basic office equipment, including printers, copiers, and telephone systems.

Strong verbal and written communication skills.

Ability to handle sensitive and confidential business data and personal information.

Ability to work without supervision.

Knowledge of University policies and procedures.

Excellent customer service skills.
