Job Summary:
The Getty Foundation fulfills the philanthropic mission of the J. Paul Getty Trust by supporting individuals and institutions committed to advancing the greater understanding and preservation of the visual arts in Los Angeles and throughout the world. Through strategic grant initiatives, the Foundation strengthens art history as a global discipline, promotes the interdisciplinary practice of conservation, increases access to museum and archival collections, and develops the next generation of arts professionals.
Reporting to the Head of Grants Administration, the Grants Administrator I will provide grants management support for specific Getty grant programs, including grant application processing, basic eligibility review, payment and report scheduling, and preparation and tracking of grant agreements. Will review and update contacts in database and test functionality of online forms and processes. Provides administrative assistance to senior managers.
*Note - This is a three-month temporary position with an anticipated end date of December 12, 2024. Working hours are 10-12 hours per week.
We work onsite and the expectation is that the candidate will reside within a commutable distance of Getty. Getty offers a telework policy, for which this position would be eligible, based on a satisfactory job performance.
Major Job Responsibilities:
Process high volume of grant requests for residential and other grant programs, including intake and application processing, basic eligibility review and data updates
Assists in generating notifications and grant documents, scheduling grant reports and payment schedules, and e-filing of documentation
Tests functionality of online forms and processes.
Provides administrative support for Grants Administration department
Undertakes special projects as assigned
Qualifications:
Bachelor's degree
Minimum of 4 years administrative experience in a non-profit organization; grants administration experience preferred
Advanced computer skills and demonstrated experience with office software and email application

Knowledge, Skills and Abilities:
Ability to apply legal, auditing, and Foundation requirements to Grants Administration functions
Aptitude for learning an analytical database and reporting functions

Excellent grammar and punctuation skills
Strong organizational skills, ability to multi-task and work efficiently
Proven ability to collaborate in teams across disciplines and build relationships
