Overview:

The Facilities and Construction Clerk assists and supports the VP of Facilities and Construction in ensuring financial performance.  This role will also support Property Management as needed.

Responsibilities:

Provides analysis as needed related to Facilities Operations, Special projects and Construction Projects.

Reconciles all utilities (water, gas, steam & electricity) invoices with actual invoiced quantities, historical quantities, and submits for payment for all entities within the health system

Manages Facilities budget reconciliations

Provides assistance maintaining facilities budget reconciliations.score: N/A

AsAccurately compiles and prepares monthly financial reports and cost assignments

Develops monthly and year-end financial projections and forecasts

Provides monthly analytical support to department managers

Provides support on insurance claims

Monitors and manages the facilities Managers and Directors on call schedules

Provides analytical support as needed

Assist with payroll functions for Facilities

Attends meetings as needed to record all information

Manages infrastructure capital budget and updates as necessary

Monitors Facilities overtime use

Monitors and assist with Facilities vacancies

Assist with facilities departmental capital budget process

Tracks and monitors all Maintenance/Facilities contract agreements

Monitors and manages the facilities on call manager schedules

Assists in developing all house wide communication as related to Facility operations

Supports the VP of Facilities and Construction as needed

Assist the Property Management department as needed

Qualifications:

Education and Work Experience:

Must possess a high school diploma or GED.

Must have 1 years of experience in an environment that utilizes financial systems.

Strong analytical and organizational skills required, particularly in planning, communications, process redesign and problem solving.

Advanced interpersonal skills required to relate to a diverse group of staff and physicians

Excellent computer knowledge and skills required; must be proficient in Microsoft Excel and Premier Applications knowledge preferred.

Effective communication skills is required.
