Overview:
Supports the student services department through maintaining all student files and serving as the primary record keeper for student records in compliance with all State and Accreditation Standards. Performs several auditing functions such as file audits, ensuring compliance with SOX, State and Accreditation standards.
Responsibilities:
Thoroughly audits all new student files to ensure appropriate and required documentation is received according to ACCSC and state standards.
Ensures Enrollment Agreements are fully executed in manner consistent with SOP, accreditation and regulatory requirements.
Ensures student record files are properly maintained and ensures accuracy of critical student data such as grades and attendance.
Responsible for evaluating and approving secondary education credentials to ensure that students meet the UTI admissions criteria in compliance with all State and Accreditation standards
Ensures all state required documents are obtained and are on file
Manages off site record retention with Iron Mountain.
Responsible for all functions of graduation or helps support these functions (i.e. ordering cap and gowns, ensuring accuracy of graduate) and partnering with other departments regarding changes, printing diplomas, coordinating the setup of the graduation ceremony, printing graduation programs, preparing students for the graduation ceremony, etc.
Responds to student and parent requests for verification letters and transcripts and issues accordingly.
Assists with scheduling functions (depending on campus location).
Other duties as assigned.
Qualifications:
Education / Experience
High school diploma or completion of GED required
Two years’ experience with file management, record keeping or auditing.
Skills
Strong interpersonal, oral and written communication skills.
Demonstrated, strong organizational skills.
Knowledge of basic computing and word processing applications. Intermediate speed in 10-key.Ability to plan and adapt to change.
Abilities
Must be able to lift, carry, push, or pull up to 5 pounds or less 5% of the workday
Must be able stoop, kneel, crouch, or crawl 5% or less of the workday
Must be able to talk, see, hear, concentrate, think, learn and reason for all of the workday
Must be able to sit and walk or otherwise move around for prolonged periods throughout the workday.
Must be able to use a keyboard and do manual tasks for prolonged periods throughout the workday.
Minimal/limited travel may be required.
