Bouygues UK has an exciting opportunity available for a Document Controller to work on one of our upcoming large-scale projects in Exeter. The role will be a 1-year fixed term contract based in our Bristol office initially, with potential to extend on site in Exeter after 1 year.

Job Purpose and Scope:

To manage all administrative and technical documents, including the control of documentation and administrative processes in accordance with Project Specific and Company Procedures. Also ensures that all users have access to the latest revision of appropriate documentation.

Accountabilities and key tasks:

QA check and process incoming information, ensuring compliance with Bouygues Document Numbering System and Protocols. Apply "QA Rejected" status if needed.

Ensure all drawings/documents are readable, printable, and accessible within the required timeframe.

Manage distribution lists as per the Dispatch Matrix and organise printing of approved documents.

Liaise with Consultants, Clients, Sub-Contractors, Designers, and the Project Team for document control matters.

Serve as the first point of contact for technical issues and provide system training for staff and subcontractors.

Maintain folder structures, authorised codes, and the excel project approval matrix.

Keep document control filing and archiving up-to-date.

Issue new-user invitations and assign security groups on 4projects.

Monitor security of confidential material.

Support Project Assistants, Design Managers, and QS with correspondence and document management.

Produce and dispatch weekly/monthly drawing status reports.

Maintain RFI system and produce summary reports.

Register, dispatch, and file technical documents.

Chase late responses and record all incoming design information.

Assist in the design approval process and management of technical documents.

Coordinate and link approved design packages on the Collaborative Tool/Data Base.

Help prepare tender packages and presentation documents.

About You:

Essential:

Good all round Document Control knowledge

Strong IT skills (MS Office)

Capacity to work effectively within a team environment

Organisational skills (prioritising tasks, respecting deadlines, methodical work)

Multi tasking

Problem solving and decision making

Desirable:

Previous experience with 4Projects (Morta would be a plus)

Familiar with various web based document management systems

Knowledge of file validation- Experience of examining documents, drawings etc
