Administrative Assistant

Inspire Resourcing are recruiting for a Part-Time permanent Administrative Assistant on behalf of a well-established client based in Chesterfield.

This is great opportunity for an experienced administrator to join a friendly & thriving team.

The Role

The role is split into two main areas:

* Reception duties dealing with general Customer and Supplier liaison, managing office supplies and helping with the arrangements for customer visits. You will also need to help with arranging taxis, hotels and some travel arrangements.

* Sales Inbox/ ecommerce Management - monitoring the company’s sales inbox and web shop applications, routing any contact to the correct person or dealing with the task if it falls under your remit. Generally, these take the form of customer enquiries, delivery follow up and on-line customer orders. Full training will be given in this well-established process.

As the Administrative Assistant you will be responsible for providing the first point of contact for customers, ensuring that Customers receive an excellent first impression.

You will be a person who puts the customer's needs first and be able to demonstrate that you have strong customer service skills.

Main duties and Responsibilities:

* Dealing with enquiries and general customer liaison (phone/ email/ social media/ ecommerce)

* Managing the Company Sales Inbox

* Processing and preparation of quotations and sales orders ensuring the completed quotation has all the correct and required information before completion. Placing Purchase Orders on HO based in Europe tracking of these orders and liaising with the customer on deliveries.

* Some CRM update tasks

* Management of meeting arrangement, travel administration and other clerical matters

Required Experience and Skills:

* Experienced in a Customer Service role, office administration/management

* Excellent verbal and written communication skills

* Proficient with IT systems including internet/ MS office

* Some knowledge of working with CRM systems

* Resourceful, trustworthy and dedicated to providing great customer service.

What will you get?

This is a highly flexible role when it comes to working arrangements. We are looking for someone to generally able to work Mondays to Friday in the Chesterfield Office.

Working hours minimum 16 up to 26 can be negotiated, but we can agree a flexible arrangement for the right candidate, eg working around school commitments/ holidays.
