Office Administrative Assistant

Location: London Office

Job Type: Full Time, Permanent

Our client, a dynamic and well-established business based in London, is seeking a skilled and organised Office Administration Assistant to support their growing team. This is a fantastic opportunity for an individual who thrives in a fast-paced environment and enjoys ensuring the smooth running of office operations while providing excellent client service.

Key Responsibilities:

As the Office Administration Assistant, you will:

Answer telephone calls, record messages, and maintain a call log.

Manage calendars and diaries, organising meetings and updating schedules.

Prepare meeting rooms, arrange refreshments, and greet clients in a professional and friendly manner.

Handle incoming and outgoing post, keeping accurate records.

Ensure the office is kept tidy and report any issues to management.

Maintain stocks of office refreshments and supplies.

Complete daily digital filing and organise office filing systems.

Liaise with IT providers for issue resolution or updates.

Action and forward admin emails appropriately.

Work with building management and facilities as needed.

Organise quarterly and annual staff events.

Client Work:

Assist in onboarding new clients, including the preparation of Anti-Money Laundering documents.

Ensure client details are updated in work management and practice management software.

Keep online records and contact details current and accurate.

Requirements & Skills:

Proficiency in MS Office, especially Word and Excel.

Self-motivated with the ability to apply skills to new tasks.

Excellent communication and interpersonal skills.

Strong organisational skills and attention to detail.

Ability to manage time effectively and work under pressure.

A collaborative team player with a positive approach.
