Summary: The Facilities and Office Operations Coordinator is responsible for ensuring smooth operations of both the physical facility and office environment, providing essential administrative and logistical support to keep the office and building running efficiently.

Requirements

Essential Duties and Responsibilities: This role will manage the coordination of scheduled maintenance, repairs, safety inspections, administrative tasks, and general office management. Provide escort oversight for vendors/technicians within the facility. The Coordinator will serve as the primary liaison between contractors, staff, and tenants, ensuring efficient communication, organization, and overall functionality of the office and building. Critical tasks include:

Facilities Management:

HVAC Systems: Coordinate mid-season, spring, and fall inspections and startup services for cooling and heating, ensuring that contractors have access to the site.

Building Automation System (BAS): Oversee quarterly checks and updates of BAS, ensuring proper system functionality. Perform manual climate adjustments, as needed.

Fire Suppression & Alarm Systems: Arrange mandatory inspections for wet fire systems, portable extinguishers, emergency lighting, backflow testing, and alarm inspections.

Life Safety Systems: Schedule restocking and inspection of first aid kits and AEDs. Perform monthly inspection of fire extinguishers and exit lights.

Landscaping: Verify completion of contractor-performed spring start-up, fall cleanup, and irrigation winterization.

Elevator: Coordinate mandatory fire and service tests for elevators.

Plumbing: Perform periodic plumbing cycling and visual leak inspections.

Roof and Seasonal Inspections: Schedule roof inspections and prepare for seasonal changes in facility conditions.

General Maintenance: Monitor and maintain, with the help of qualified contractors, the cleanliness and safety of the interior and exterior, including parking lots, offices, and outdoor spaces.

Construction Oversight: As part of the facilities team assist Chief of Facilities in providing oversight over construction project or building improvements.

Office Operations:

Administrative Support: Manage office supplies, track orders, and ensure efficient functioning of office operations.

Receptionist Duties: Greet visitors, manage phone calls, and provide necessary administrative support, including scheduling meetings, maintaining calendars, and creating reports.

Mail Handling: Organize incoming and outgoing mail and manage deliveries.

Policy Development & Process Improvement: Assist in the creation and implementation of office policies and identify opportunities for operational improvement.

Event Planning & Logistics: Assist in organizing office events and conferences, including coordinating travel and logistics for staff. Ordering, receiving, and internal delivery of approved catering requests.

Communication: Serve as the point of contact for staff, tenants, and contractors regarding facilities scheduling, issues, or important events.

Competencies:

Preventive Maintenance: Ability to schedule and coordinate regular inspections, maintenance, and repairs for various building systems.

Vendor Management: Skilled in selecting and liaising with external contractors, negotiating terms, and ensuring timely service delivery and contract compliance.

Safety and Compliance: Knowledge of building safety standards, regulations, and emergency procedures, ensuring the facility adheres to legal requirements.

Multitasking: Ability to juggle multiple tasks such as scheduling inspections, organizing events, managing office supplies, and handling mail and deliveries.

Time Management: Proficient in prioritizing tasks and ensuring deadlines are met for maintenance, administrative duties, and event planning.

Detail-Oriented: Strong attention to detail, especially when it comes to monitoring facility conditions, safety, and office processes.

Record Keeping: Competency in maintaining accurate records for inspections, inventory management, maintenance schedules, and office policies.

Troubleshooting: Capable of identifying and addressing facility-related issues such as equipment malfunctions, safety hazards, or office supply shortages.

Process Improvement: Ability to analyze current office and facilities management processes and propose improvements to enhance efficiency or reduce costs.

Self-Motivated: Ability to take initiative in managing office and facility needs without constant supervision, ensuring that tasks are completed efficiently and proactively.

Adaptability: Ability to quickly adapt to changing priorities, such as unexpected facility issues, last-minute meeting arrangements, or changes in office policies.

Required Qualifications/Education:

Experience reviewing and managing maintenance contracts

3-6 years of work experience in an administrative/office management role

Strong organizational and time management skills, and ability to prioritize

Excellent communication and interpersonal skills

Must be proficient with Microsoft Office and Google products

Must be able to plan, schedule, and execute to the plan with a strong emphasis on documenting in writing each of these three phases

Security Clearance Requirements: TS/SCI desired, but not required

Work Environment & Physical Requirements: General office environment. Must be able operate a computer, keyboard, and telephone, climb stairs and ladders, lift 50 lbs., move items around building with carts, receive deliveries, and sit at a desk for 8 hours a day. Must be comfortable accessing and inspecting various building areas including but not limited to: roof, utility rooms, electrical rooms, bathrooms, construction areas, building grounds when necessary.
