Our client is currently seeking a dedicated and detail-oriented Private Client Legal Secretary to join their team based in Birmingham City Centre. The Private Client Legal Secretary will play a crucial role in supporting the team of solicitors in delivering high-quality legal services to their private clients. The ideal candidate will possess excellent organisational skills, a strong understanding of legal procedures, and a commitment to maintaining a high level of confidentiality. You will be responsible for administrative tasks, document preparation, and facilitating communication between clients and legal professionals.

Duties for the Legal Secretary will include but not be limited to the following:

Provide comprehensive administrative support to solicitors specialising in private client matters, including estate planning, wills, trusts, and probate.

Prepare and finalise legal documents, correspondence, and reports, ensuring accuracy and compliance with legal standards.

Manage incoming and outgoing communications, including phone calls, emails, and client inquiries, with professionalism and confidentiality.

Maintain and organise client files, ensuring that all documentation is up-to-date and accessible.

Schedule and coordinate client appointments, meetings, and court dates, while managing the solicitors’ calendars effectively.

Liaise with clients, third parties, and governmental agencies to facilitate the smooth progression of cases.

Uphold the firm’s commitment to client confidentiality and data protection regulations at all times.

The ideal candidate for the Legal Secretary will have the following:

Previous experience as a legal secretary or in a similar administrative role within a law firm, preferably in private client law.

Audio typing experience is essential.

Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software.

Strong organisational and time-management skills, with the ability to prioritise tasks effectively.

Excellent written and verbal communication skills, with a keen attention to detail.

Ability to work independently and collaboratively within a team environment.

Knowledge of legal terminology and procedures related to private client matters is preferred.

A professional demeanour and ability to handle sensitive information with discretion.

Hours for this role are 9am – 5pm Monday to Friday with an hour for lunch.
