Your Opportunity at ECG: Administrative Services Manager (ASM)

The ASM is responsible for managing and leading all administrative resources at ECG, reporting directly to the chief of staff. This individual will oversee a team of 15+ administrative professionals, including administrative assistants, executive assistants, senior executive assistants, and office experience leads, located across multiple ECG offices. The ASM will ensure that administrative operations are optimized to best support ECG’s leadership, consultants, and corporate staff. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple tasks while providing leadership and direction to the administrative team.

This role encompasses a broad range of responsibilities, including overseeing office management, executive support, team development, and service delivery improvements. The ASM will work closely with senior leadership throughout the organization to assess needs, allocate resources, and ensure high-quality administrative support.

Responsibilities

The position includes, but is not limited to, the following responsibilities:

Inspire a culture of customer service and collaboration. You will foster a team culture focused on delivering exceptional customer service to our senior leaders. You will continuously evaluate responsibilities, workloads, and processes to enable the highest standard of support for ECG staff and leadership. The ASM will foster a collaborative approach among the administrative team, working closely with senior leaders and office heads across ECG, while consistently seeking opportunities to enhance service quality.

Manage the employee life cycle of administrative support staff. You will partner with division leaders in the hiring of administrative staff. The ASM will work with division senior leadership to identify when additional staff members are needed, interview candidates, and lead the review process. You will make recommendations on departmental personnel decisions, including those related to hiring, promoting, and releasing administrative support staff members. The ASM will manage administrative team scheduling, workloads, and performance to maintain high productivity and support across all departments.

Develop administrative support staff. Providing guidance and coaching, the ASM trains new staff and facilitates any necessary additional training to current staff. These duties include processing new-hire paperwork, delivering the new-hire orientation, and developing training programs that effectively implement all company policies and procedures. You will work directly with senior leaders to gather feedback during regular performance reviews and promotion processes and identify development needs for individual staff members. You will identify and provide ongoing training and development opportunities for staff career progression as well as the benefit of the firm (technology trends, etc.).

Manage administrative support staff. You will be responsible for supervising and for partnering with division leadership on evaluating administrative staff performance. The ASM will develop a staffing and support model that considers executive leaders’ needs. You will provide leadership and foster cross-training, teamwork, engagement, and talent development. Our administrative assistants support leadership in a pool model. You will be responsible for directly overseeing their services as well as monitoring and prioritizing workloads. You will create processes to ensure that tasks are completed in an effective and timely manner. You will lead administrative services team meetings, celebrations, and other internal events. You will serve as a contact person or escalation point for administrative services questions, issues, or special requests.

Oversee office administration and facilities management. The ASM is ultimately accountable for ensuring the office environment at all ECG locations is clean, organized, and welcoming. You will manage a team of office experience leads who will take ownership of office supplies, equipment maintenance, and vendor relationships. You will oversee administrative support for office events and may manage construction or renovation projects from planning to completion when required.

Support technology and reporting. You will partner with IT and other departments to streamline processes and improve efficiency through technological solutions. The ASM will also track and report on general customer satisfaction and utilization.

Our Expectations of You

8 or more years of administrative experience, including 3+ years of experience directly supervising 10+ staff within a multioffice structure

Track record of managing a team focused on providing exceptional support

Bachelor’s degree in a business-related field or equivalent

Experience in management consulting or other professional services (preferred)

Demonstrated ability to solve problems creatively

Exceptional interpersonal skills; proven experience in fostering positive working relationships with stakeholders at all levels

Strong organizational skills that reflect an ability to perform and prioritize multiple tasks with excellent attention to detail

Proven ability to handle confidential information with discretion, maintaining tact and diplomacy

Self-motivation with a strong work ethic; dedication to quality, quantity, and timeliness of results

Excellent attention to detail and the ability to multitask in a fast-paced environment while maintaining a calm and collected demeanor and effectively prioritizing and resolving issues

Advanced knowledge of Microsoft Office (Word, Excel, and PowerPoint); ability to quickly learn and understand other company applications

The estimated base salary range for this job is $95,000 - $100,000 annually. It represents a good faith estimate of the range that ECG reasonably expects to pay at the time of the job posting. The actual salary paid will vary based on multiple factors, including but not limited to years of experience, special skills, and market changes. This job is eligible to participate in ECG’s annual incentive compensation program, which reflects ECG’s pay-for-performance philosophy. The job is also eligible to participate in ECG’s benefit plans, which includes medical, dental, and vision coverage, unlimited PTO, and other wellness programs.
