This is an exciting opportunity to join the Operations Team at UtiliQuest, LLC as an Administrative Assistant working in our West Coast Region based in the Sacramento, CA area (McClellan Park). UtiliQuest, LLC a leading provider of quality underground utility damage prevention for over three decades. With headquarters located in Alpharetta, Georgia just north of Atlanta, we have offices located in states including California, Indiana, Ohio and the Eastern US from Florida to New York with over 2,800 employees. Meet the team

Our Operations Team plays a critical role in supporting our clients and community in safekeeping infrastructure in residential and commercial construction areas. As a result, we hold ourselves to high standards and expectations in damage prevention. It is key that you are a self-motivated professional with strong work ethic, organizational, time management and interpersonal skills, and are ready to add value to our team on day one.  You will be the point of contact supporting Center Operations and Field Technicians. 

The Administrative Assistant reports directly to the Operations Manager for the Sacramento center. In this role, the ideal candidate will be highly organized with the ability to prioritize multiple tasks, while supporting the Team with various duties. You will play an active part in the daily operations of the Center and support our business objectives.

What you’ll do…

Primary duties may include, but are not limited to:

Prioritize and assign work within commitment dates and times.

Analyze situations and develop solutions while working within the team to meet goals.

Apply critical thinking skills to understand problems, analyze facts and anticipate results to make decisions based on available information.

Work within Excel and Google-based documents, create scheduling calendars and ticket-tracking solutions. 

Answer customer calls to ensure satisfactory performance of service.  

Provide administrative support to centers in the Northern California Region.

Responsible for the overall completeness and accuracy of all employment data entries

Process any onboarding paperwork for new hires and complete I9 verification. 

Receive work orders and dispatch to appropriate field technicians. 

Contact customers to ensure satisfactory performance of service. 

Keep record of service calls and work orders. 

Dispatch orders and relay messages and special instructions to mobile crews and other departments.

Compose and file routine correspondence. 

Assist with ordering office supplies. 

Assist with general office duties, as assigned.

Who we are looking for…

Required skills for success:

High school diploma or GED equivalency required.  

Six (6) months of experience in an administrative role or related experience required. 

Strong Interpersonal skills and ability to interact and work with staff at all levels.

Excellent written and verbal communication skills.

Ability to project professionalism in client and employee interactions.

Ability to learn new systems and software related to the role.

Strong understanding of Google and Office Suites.

Availability to work one Sunday per month for monthly project.

Ability to work onsite, Monday through Friday.No hybrid or remote work available.

Salary Range $22 - $25 / hr (based on experience)
