Overview:
This position is responsible for supporting the Client Services department with various administrative projects and process management.
Essential Responsibilities/Duties:
Setup and manage scheduled meeting events and conference calls
Facilitating internal processes, both within the team and cross-functionally, including salary and bonus requests
Creating Team Sheets for new accounts or accounts in transition, in coordination with Marketing
Handle or assist with project requests from both the Client Services Team and Executive Management Team
Human Resources:
Work closely with our Human Resources team to complete and streamline tasks
Facilitate and complete all crew member Personnel Action Forms in Paycom
Gather salary data points to complete reports for Executive Team and or Client Services Team
Submit all end of year bonuses and salary increases for our Client Accounts
Lead all per diem crew member onboarding
Proposals:
Support the Executive Management team in developing proposals, researching hangar costs and availability
Gather hangar and fuel quotes as requested (usually CROs and CSDs)
Must be able to create and maintain relationships with FBOs and hangar owners
Bargain fuel cost – tenant vs. contract
Request and obtain draft hangar leases and agreement, request changes as necessary
Systems administration and oversight, including Salesforce and SharePoint:
Salesforce- Maintaining account information to include:
Addition of new employees/crew members and removal of terminated employees/crew
Update for internal transitions
Logging appropriate account communication to include communication with CRO, client, and CSD for historic reference
Log all account related tasks
Qualifications:
Highly detail oriented; ability to meet deadlines and possess effective problem-solving skills
Must be flexible and can adapt to changes in a growing company
Excellent communication and interpersonal skills
Ability to operate independently with minimal supervision
Aviation experience preferred but not required
Experience in Salesforce, Paycom and SharePoint preferred, but not required
Must have strong work ethics, be reliable, and have a professional and positive attitude

Salary - $55,000 - $65,000
