What You'll Do:

Perform various executive-level secretarial and administrative tasks for the President, and Executive members.

Responsibilities may include but are not limited to the following tasks:Data entry, formatting, and scanning.

Assist with answering phones and office mail delivery.

Provide backup to other administrative personnel during absences, lunch breaks, training, etc.

Maintain confidentiality among the executive-level team and with telephone calls, documents, e-mails, and

meetings.

Compile, transcribe, and distribute minutes of meetings.

Manage and maintain executives' schedules and make travel arrangements.

Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database,

and/or presentation software in a timely manner.

Greet visitors and determine whether they should be given access to specific individuals.

Utilize judgment in determining which tasks can be handled and which tasks need to be directed to

management or to other members of the organization.

Demonstrate a collaborative attitude with the ability to work independently and take initiative.

Utilizes interpersonal, verbal and written communication skills to accurately document, report and interface

effectively with all levels of personnel, including management, visitors, clients, and vendors.

Schedule meetings and manage calendars for executives.

Coordinate logistics of offsite and on-site meetings, which may include:Reserving on-site conference rooms or offsite meeting locations.

Arranging for room furniture setup, audio-visual equipment and catering.

Preparing meeting materials such as documents and presentations.

Distributing invitations and reminders to participants.

Travel Arrangements.

With strong attention to detail and a high standard for personal work, performs duties as assigned or

required.

Prepare monthly credit card reconciliations.

Manage corporate e-commerce accounts.

What We're Looking For:

High school diploma or equivalent required.

BA/BS in Business or similar degree preferred.

10+ years related experience.

Dependable, detail-oriented, organized.

Ability to multi-task, meet deadlines and use exceptional judgment.

Proficiency with MS Office (Word, Excel, PowerPoint).

Excellent oral and written communication skills.

Confidentiality is a requirement for this position.
