The Human Resources Onboarding Coordinator is a key point of contact for all new hires. The Onboarding Coordinator supports new employees in completing onboarding paperwork, coordinates with the training team to enroll new hires in New Employee Orientation, and creates a warm and engaging relationship between new hires and the Human Resources department. This includes educating new employees about Seneca's benefit options, informing them of potential perks of working at Seneca, and establishing an open channel of communication for all HR-related needs. The Onboarding Coordinator also maintains employee files, updates the compliance database, and provides exceptional customer service to agency employees, applicants, and external parties.

Responsibilities:

Manage the full-cycle onboarding process for newly hired employees.

Draft and send offer letters to candidates.

Coordinate and send onboarding tasks through the UKG platform.

Communicate with new hires to provide guidance and answer questions during onboarding.

Collaborate with hiring managers and supervisors to align on onboarding logistics and timelines.

Complete I-9 documentation and ensure all compliance requirements are met.

Help new hires navigate the UKG onboarding system, providing support for any issues or concerns.

Build and maintain employee personnel files within the UKG system, ensuring accuracy and completeness.

Maintain up-to-date knowledge of organizational, state, and federal onboarding regulations to ensure compliance.

Coordinate independent contractor arrangements, including managing paperwork, drafting agreements, and handling correspondence.

Qualifications:

REQUIRED

Experience/education requirements: Bachelor’s degree + 1 year of applicable work experience OR 

Associate's degree or equivalent + 2 years of applicable work experience  

High school diploma/GED + 3 years of applicable work experience. 

Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and/or coordination with multiple departments. 

At least one year of human resources experience beyond the minimum requirement.  

At least 21 years of age. 

TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.  

Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy.  

Proof of up-to-date COVID-19 vaccination.  

SKILLS OF AN IDEAL CANDIDATE 

Excellent interpersonal and organizational skills with experience handling confidential and sensitive information.

Strong attention to detail and multi-tasking skills in a fast-paced environment.

Sold computer skills and the ability to learn new technology platforms quickly.

Schedule:

Full time, Monday - Friday 9am - 5:30pm.

Hybrid work schedule.2 days a week at Seneca Golf Links Campus in Oakland, CA.

Benefits:

Starting at $30.77 - $33.27 per hour.Actual salary dependent on creditable experience above the minimum qualifications for the role. 

Additional compensation provided upon passing bilingual language proficiency exam.

Salary increases each year.
