We are seeking a detail oriented and collaborative Human Resources Coordinator to join our People and Culture team. In this role, you will provide essential administrative support, coordinate onboarding and recruiting activities, and help maintain employee engagement through various initiatives. A successful candidate will have:
Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
Excellent communication abilities for interacting with internal team members, external vendors, and new hires.
Attention to detail in handling sensitive documentation and ensuring accurate records in personnel files.
Proficiency in office software (e.g., Microsoft Office Suite) and experience working with large server-based systems.
Collaborative mindset and ability to work effectively with a diverse team, including supporting various HR functions.
Problem-solving skills to address issues that arise with recruitment coordination, onboarding, or vendor management.
Customer service-oriented approach, especially in managing the Welcome Desk and ensuring a positive experience for visitors and new hires.

Essential functions of the role:
Human Resources Administration
Provide administrative support to People & Culture department employees
Along with the Executive Assistant, provide coverage of the Emprise Bank Welcome Desk
Greet department guests and answer incoming phone calls
Coordinate services with third party vendors
Maintain supply inventory
Order and maintain stock of new hire gifts and recruiting swag
Distribute new hire and employee anniversary gifts
Arrange meetings and prepare conference rooms
Process employee transfers, promotions, and job changes
Manage notary process, employee movie tickets sales, and distribution of gifts cards
Scan documentation into personnel files
Publish weekly HR update
Participate in human resource projects
Recruiting Coordination
Maintain applicant tracking system
Provide timely communication with applicants regarding interviews, dismissals, and other applicant inquires
Schedule and process pre-employment credit checks, background checks, and drug screens
Prepare and submit offer letters to new employees
Maintain employee referral tickets
Assist team in preparing for and staffing recruitment fairs and events
Onboarding Coordination
Assist managers and new hires with and process new hire documentation
Create and maintain employee personnel files in imaging system
Enroll new employees in training courses
Training Coordination
Organize and update training materials
Coordinate enrollment of external training
Schedule training rooms and assist with audio-visual equipment
Serve as a back-up trainer and producer
Other duties as assigned within the scope and responsibility of the job.
Requirements
High School Diploma or GED
Two years general office experience preferred
Human resource experience preferred
Proficiency with large server-based applications and typical desktop software
Hours: 40 hours per week
Monday – Friday: Typical schedule is 8:00 AM to 5:00 PM
