POSITION SUMMARY

The Executive Assistant to the CFO performs confidential, clerical, and administrative functions. They will coordinate a widely varied set of tasks that support the entire TEAm. Provide confidential, clerical, and administrative functions an effective and efficient manner. Coordinate executive level activities with greater latitude for independent judgement.

RESPONSIBILITIES

Complete a broad variety of administrative tasks with a high level of professionalism including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Handle all company correspondence, documents, and meetings as confidential.

Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Department Head to effectively lead the department.

Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; and making adjustments to plans.

Attend TEAm meetings and prepare summaries as needed.

Provide backup within department as needed.

Serve as a Strategic Planning auditor by attending all quarterly and annual meetings to prepare Department Metrics and monitor progress.

Maintain Department SharePoint sites and be an Office 365 Champion.

Anticipates the needs of the executive, staying one step ahead and supports preparation for critical meetings.

Act as the primary point of contact with CFO's internal and external stakeholders, ensuring timely and accurate information flow.

Upholds and participates in all Corporate Responsibility programming including recycling, social advocacy and MMAD volunteering opportunities.

Invest in and is an example of Milo’s Responsibility commitment which includes environmental, social, and corporate governance components.

Other duties as assigned.

QUALIFICATIONS

All applicants must have a B.A. or B.S. degree; or a minimum of 4-6 years related experience and/or training; or equivalent combination of education and experience.

Four plus years executive support

Ability to read and interpret reports and correspondence.

Must have excellent spelling and grammar; excellent phone skills, meet deadlines; proof one’s own work.

To perform this job successfully, an individual should be proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
