Role Overview:
This business is expanding not just in people and projects but in innovation and forward thinking.

Assisting in ensuring that the business remain compliant against all legal and statutory legislation
Providing administrative support to the Central team and the Sustainability and People teams
Focused on standards, processes, compliance, quality of our documentation and our processes as we continue to grow
Support the team by assisting with internal audits and helping maintain our ISO compliance
Support with the compliance maintenance of key regulations such as UK GDPR (General Data Protection Regulation), Anti-bribery and Corruption, Occupational Health and Safety amongst others
Ensure all policies are maintained and updated following their document control guidance, and ensure latest versions are made available in the company’s intranet
You will be integral to managing and maintaining the company's Common Data Environment (CDE) overseeing the adding of members, permission levels and general use of the system, to ensure it is being used within guidelines
Key Responsibilities:

To work with the Sustainability team and Head of People to maintain all policies by reviewing them frequently and ensure yearly renewal
Support the management of all the ISO standards (ISO 14001, 9001, 45001 & 50001) documentation, working towards future accreditations including ISO19650
Organise internal and external ISO audits by liaising with business units, consultants and auditors, create the agenda and ensure all logistics go without issues
Ensure statutory certification and other evidence of completion of statutory and mandatory maintenance tasks is collated, reviewed, and appropriately filed
Provide administrative support for the completion of UK GDPR compliance tasks
Onboard starters on the UK GDPR training academy and ensure training is completed
Work with the Health & Safety Advisor to provide support in updating records and maintaining registers
Develop Document Control Standard Procedures
Promote and maintain current standard document control procedures, workflows, and best practices across the business
Own the document register ensuring that it is up to date
Plan, control, and conduct Document Control Training for the Group and external consultants, contractors and clients as required
Develop digital H&S+O&M manuals (Health & Safety incorporating Operations and Maintenance) with their external consultants and perfecting our processes, standards and practices and ensuring efficient production at practical completion
Assist in the Development of Digital Construction Software & Paperless Sites Trials through implementation of an actual paperless sites and beyond
Oversee the use of the CDE, including the high-level management of members, projects and roles and permissions within the system, including monthly invoicing for external licences
Management and development of Oktra’s PQQ (pre-qualification questionnaire) process, including gathering updated information for our existing supply chain, training new starters and being the first point of contact for any internal queries
Essential Skills & Experience:

Used to working within a fast-paced, ever-changing environment where nothing is a problem
Energy, drive and ‘can do’ attitude are essential; demonstrates initiative
Excellent Microsoft package skills
Excellent interpersonal and communication skills
Ability to build working relationships across a team environment
Attention to detail is essential
Administrative experience
Experience in QHSE (Quality Health Safety and Environmental) or Sustainability compliance is desirable but not essential
Ability to work independently or as part of a team
Good, positive forward-thinking attitude
Experience of using common data environments (ACC / BIM360 Docs) this is desirable but not essential as training will be given What’s in it for you:
