Access Services is hiring an Administrative Assistant to support our Fort Washington Office! 

The administrative assistant will assist the Office manager and provide overall administrative support. They will facilitate the efficient office operations, procedures, and equipment of the Delaware Valley (DV) Regional Office, helping to ensure organizational effectiveness, standardization, and the use of best practices. This includes office space management, ordering supplies and equipment, mail pick up and distribution, welcoming and directing visitors and clients, answering phone calls, records maintenance, copy/print services, and office maintenance.  

Essential Functions 

Support the Delaware Valley Regional Office Manager in administrative functions as needed. Provide front desk coverage at the Fort Washington Office, with a welcoming and friendly presence. This includes answering phone calls, greeting visitors and staff, checking in appointments and interviews, and receiving packages. 

Sort and deliver office mail while on duty. Handle outgoing mail and inner office mail as needed. Assist with outgoing shipping of packages.  

Perform the weekly walkthrough of the offices and common spaces and report any issues accordingly. 

Managing facilities-related tickets for the Fort Washington Office. This includes upkeep tickets, copier service calls, office basics service calls, facilities-related tickets, and other matters. Be the contact person for all office-related service calls. 

Perform data entry functions as needed. 

Run monthly copier and meter reports as needed.  

Ensure that the Fort Washington office is adequately stocked with needed supplies. This includes breakrooms, kitchen areas, conference rooms, etc.  

Assist in managing conference room reservations.  

Be the contact person for/with the office landlord. Send out notices/announcements and submit work orders for the building and office. 

Assist the IT team with equipment distribution as needed. Ensure that the IT room is stocked with equipment as needed.  

Support other departments with administrative tasks as required.  

Requirements

Candidates must meet all qualifying and ongoing job criteria including background checks, physical examination results, and clearances. 

Education: High School Diploma or equivalency required. 

Experience: One (1) year of directly related administrative experience required. Receptionist experience preferred.  

Knowledge, Skills, and Abilities:  

Effective communication skills.  

Highly organized, detail-oriented, and accurate record-keeping skills.  

Ability to handle multiple tasks efficiently and accurately.  

Strong problem-solving skills. 

Proficiency in, or ability to learn and use, workplace applications, platforms and technologies. 

Essential Working Conditions/Physical Demands: Work in a standard office environment. Utilize desktop computer equipment on a daily basis. Able to lift or move items associated with sedentary work and light work (exert up to 20 lbs.) Routinely travel to offsite locations and regional office locations as necessary. May require the same physical and lifting requirements as an employee who regularly provides direct care should they be needed to assist.

Schedule and Compensation:

The hourly rate for the position starts at $18/hour, with increases based on education and experience.   

This is a part time job.  

This is an in-office position and does not offer remote work. 

The position is 18-20 hours/week, 4-5 days/week.  The schedule is set for two of the days (Tuesday and Fridays) the other day(s) one will work can be set by the new hire, within the boundaries of Monday-Friday during open office hours.

We are looking to primarily cover the busiest office times, mid-morning to mid-afternoon.
