Responsibilities:
Answers and appropriately handles incoming phone calls:
Records required information in call record and dispatches calls for maintenance requests.
Takes messages and/ or appropriately directs calls to director and managers.
Responds appropriately with authorized information and courtesy.
Greets staff and visitors at Facilities front desk:
Directs outside contractors, vendors, and service company reps through sign in & out procedures.
Screens visitors and informs them of policies. Directs them appropriately.
Informs appropriate staff of presence of authorized visitors and coordinates via radio.
Prepares and processes materials and service requisitions:
Obtains appropriate approvals and processes requisitions manually, and electronically.
Maintains purchasing documents and files.
Processes invoices for payment:
Retrieves and matches receiving documents, requisitions, and invoices.
Obtains appropriate approvals.
Processes approved invoice packets for payment and maintains appropriate documents and files.
Receives deliveries and mail:
Opens and date stamps all outside and internal mail deliveries, then directs them to the appropriate staff.
Signs for deliveries including materials, verifies packing lists, copies and matches with order documents as appropriate.
Prepares and processes check requests, expense vouchers, and other miscellaneous documents:
Utilizes appropriate forms and required documents.
Obtains appropriate approvals and processes for payment.
Maintains required documentation files.
Generates and prints preventative maintenance work orders per schedule:
Proofs work orders for accuracy and schedule.
Applies appropriate documentation direction stamps and distributes to assigned maintenance mechanics.
Maintains inventory of office supplies and replenishes supplies when required.
Qualifications:
High school graduate or equivalency required.
Three years of secretarial/administrative experience.
Experience in Facilities and/or healthcare setting is desired.
Proficiency with MS office (Outlook, Word, Excel, Power Point) is required.
Experience in facilities management (maintenance) work order software preferred. Strong skills in office systems such as materials procurement, receiving documentation, filing, and invoice processing are preferred.
Superior customer service, telephone skills, and the ability to function in a fast paced, noisy environment are necessary.
